We're looking for a highly organized and personable Receptionist / Scheduling Coordinator to manage phone calls and assist with scheduling appointments across multiple territories. This role is ideal for someone who thrives in a fast-paced environment, can juggle competing priorities, and communicates clearly with both clients and internal teams.
Key Responsibilities:
Serve as the first point of contact for incoming calls, emails, and inquiries. Coordinate and schedule appointments across multiple regions and time zones. Maintain and update calendars for multiple team members or departments. Confirm appointments, send reminders, and handle rescheduling as needed. Ensure efficient routing of appointments based on territory, availability, and priority.
Qualifications:
Proven experience in a receptionist, administrative, or scheduling role. Strong organizational and multitasking skills. Excellent verbal and written communication. Ability to manage multiple calendars and systems simultaneously. Proficiency with scheduling software and office tools (e.g., Outlook, CRM systems). Attention to detail and problem-solving mindset. Ability to remain calm and professional under pressure.
Preferred:
Experience coordinating across multiple territories or time zones. Familiarity with CRM or dispatching systems. Customer service background.
