JOB SUMMARY
Under the supervision of Specialty Services Leadership, the scheduler communicates with patients and care team to schedule appropriate appointments. The scheduler acts as a liaison between the patient, patient caregivers and care team to organize timely care and access to resources as planned by the clinical care team. Scheduler supports team in coordination of appointments to support excellent patient care experiences. The Oncology and Palliative Care Scheduler plays a critical role in supporting patients, providers and care teams by coordinating timely access to oncology and palliative care services. This position is responsible for scheduling appointments, coordination of care across disciplines and supporting workflows across clinic to ensure seamless and patient-centered care. Essential Duties Schedule and coordinate oncology and palliative care appointments, including new patient consults, follow-up visits, treatments and supportive services. Serve as a primary point of contact for patients and families regarding appointment scheduling, changes, and general access questions. Coordinates scheduling across providers, departments, and external facilities to optimize care continuity and resource utilization. Participates in the prior authorization processes across settings and with the interdisciplinary team, ensuring scheduled appointments are appropriately prior authorized. Maintain accurate and timely documentation in the electronic medical records. Identify and proactively address scheduling conflicts, delays, or barriers. Support clinic workflows by collaborating closely with physicians, advance practice clinicians, nurses and multidisciplinary care teams. Maintain accurate schedule blocks and templates for provider schedules. Provide compassionate, respectful and professional service to all patients, particularly those with complex and serious illness. Professional Practice Adheres to organizational policies, procedures and patient privacy regulations Collaborates with other departments in a professional manner as needed to provide patient-centered care. Functions as liaison between the patient/family, physicians, other healthcare providers and administration. Interacts professionally with the patient/family and involves the patient/family in the formation of the plan of care. Maintains a good working relationship both within the department and with other departments. Demonstrates an ability to be flexible, organized and function well under stressful situations. Demonstrates effective communication, conflict resolution, team building, and leadership skills. Compliance with Sheridan Memorial Hospital's Kindness First Service Standards. Quality Documentation meets current standards and policies. Demonstrates ability to schedule appointments and provide customer care services for excellent patient care experiences. Communicates appropriately and clearly to all health care team members. Consults other departments as appropriate to provide for an interdisciplinary approach to the patient's needs in coordinating patient care appointments. Provides care appropriate to disease condition and age of the patient. Reports significant events such as near misses, adverse events, patient/family complaints, and any situation that affects the safe delivery of patient-centered care in a timely manner to supervisor. Service Treats patients and their families with respect and dignity. Identifies and addresses psychosocial, cultural, ethnic and religious/spiritual needs of patients and their families. Identifies and addresses psychosocial needs of patients and family; communicates with social service/discharge planner regarding both in hospital and post discharge needs.
POSITION QUALIFICATION
— Education, Experience & Licensure High school diploma or general equivalency diploma (GED), required. Experience in medical scheduling, oncology, palliative care or specialty clinics, preferred. Proficiency working within Electronic Medical Records, preferred. Familiarity with insurance verification and prior authorization processes, preferred. Strong organizational skills and attention to detail. Excellent communication and customer service skills. Ability to manage sensitive conversations with empathy and professionalism. Additional Skills Ability to effectively communicate in English, both reading and writing Additional languages desirable Basic computer knowledge Organizational skills Participates in continuing education activities within the department and organization Attends and actively participates in departmental staff meetings Keeps up to date with clinical practice and evidence-based practice guidelines Stays abreast of organizational policies and procedures Specific demands not listed: Possible exposure to blood and or body fluids / infectious disease / hazardous waste requiring the use of Personal Protective Equipment. Exposure to odorous chemicals / specimens and Latex products. Pre-employment drug and alcohol screening is required.
