With a small but fast-paced team, we thrive on adaptability and teamwork in a high-energy environment focused on delivering quality solutions to our clients. Job Summary The Receiving Clerk & Inventory Associate is responsible for the accurate intake, inspection, and processing of all incoming goods, including rental returns, RMA units, eBay purchases, and new purchase orders. This role is critical to facility operations, ensuring total visibility of assets entering the building. You will serve as the primary gatekeeper for equipment status, documenting condition, verifying compliance, and directing assets to the appropriate staging areas (Lab, Shipping, or Inventory).
Duties Shipment Processing:
Manage the intake of all inbound shipments. Verify contents against the Purchase Order Dashboard and relevant shipping labels (PO, RMA, Rental Returns).
Digital Inventory Management:
Utilize EZRentout (EZRO) to scan, log, and update all received items. Ensure all data entry is accurate and reflects real-time status.
Inspection & Documentation:
Perform thorough visual inspections of all incoming goods. Document discrepancies, missing accessories, or damage using photography and the required internal Receiving Form.
Quarantine Protocol:
Properly identify, mark, and color-code packages requiring quarantine (REC-Q1/SHIP-Q1) due to damage or discrepancies. Coordinate with management to resolve issues.
Staging & Fulfillment:
Direct items to designated areas (Lab Stations, Shipping Queues, or Inventory Shelves) based on order type. Ensure items are "Fleet Ready" by verifying manuals, power cables, and calibration documentation are present.
Cross-Functional Communication:
Collaborate with the Logistics Manager, Sales, and Quality Control teams to ensure smooth workflow. Notify internal stakeholders immediately upon the arrival of personnel-specific orders or high-priority assets. System Proficiency:
Strong experience with inventory management software (EZRentout preferred) and CRM tools (HubSpot). Comfortable using Google Suite (Sheets/Docs) for tracking and reporting. Attention to

Meticulous approach to verifying serial numbers, accessories, and calibration documentation. Ability to catch "missing link" issues before assets hit the shelves.
Physical Ability:
Able to lift and move heavy equipment (up to 45 lbs independently; team-lift for heavier items).
