Job Description

Shipping Administrative Assistant Position Summary The Shipping Administrative Assistant is responsible for supporting the daily operations of the shipping department by coordinating documentation, communicating with carriers and customers, maintaining shipping records, and ensuring timely and accurate order processing. This role requires excellent organizational skills, attention to detail, and the ability to work in a fast-paced environment. Key Responsibilities Prepare shipping documents including bills of lading, packing slips, shipping labels, and customs documentation, when applicable. Schedule outbound shipments with freight carriers, parcel services, and customer-designated carriers. Coordinate daily shipping schedules with warehouse and production teams. Verify shipping information for accuracy before orders are released. Monitor shipment status and provide updates to internal departments and customers. Maintain accurate shipping records and filing systems. Enter and update shipping information in the ERP system. Resolve shipping discrepancies, delivery issues, and freight claims. Assist with inventory transactions related to shipments. Communicate with customer service regarding shipping priorities and customer requests. Ensure compliance with company policies and transportation regulations. Support month-end reporting and shipping metrics. Order and maintain shipping office supplies and forms. Perform other administrative duties as assigned. Qualifications High school diploma or equivalent required; Associate's degree preferred. Minimum of 2 years of administrative experience in shipping, logistics, warehouse, or supply chain operations preferred. Experience with ERP systems and Microsoft Office Suite, particularly Excel and Outlook. Familiarity with shipping software and carrier portals (UPS, FedEx, LTL carriers) preferred. Strong data entry and organizational skills. Excellent written and verbal communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Strong attention to detail and accuracy. Knowledge, Skills & Abilities Understanding of shipping procedures and logistics operations. Knowledge of freight terminology and transportation documentation. Ability to work independently and as part of a team. Strong customer service and problem-solving skills. Ability to maintain confidentiality and professionalism. Basic math and recordkeeping skills. Physical Requirements Primarily office-based with occasional visits to the warehouse. Ability to sit for extended periods while working at a computer. Occasionally lift up to 25 pounds. Ability to walk throughout warehouse and shipping areas as needed. Working Conditions Office and warehouse environment. Frequent interaction with warehouse personnel, customer service, carriers, and drivers. Fast-paced environment with changing priorities and deadlines.
Pay:
$21.00 - $25.00 per hour
