Job Description

Position Summary The Service & Parts Manager oversees the daily service and parts operations of the shop, ensuring customers receive timely, professional service while technicians have the parts, information, and support needed to complete repairs efficiently. This hands-on role serves as a key point of contact between customers, technicians, vendors, and management and is responsible for coordinating service workflow from initial customer contact through repair completion. The Service & Parts Manager also manages the shop's parts needs, including sourcing and ordering parts, maintaining appropriate inventory levels, working with vendors, and ensuring parts are available when needed to minimize downtime. The ideal candidate has strong knowledge of heavy-duty truck and trailer repair, excellent customer service and organizational skills, and experience managing both service operations and parts. Key Responsibilities Serve as the primary point of contact for customers, communicating repair needs, estimates, approvals, timelines, and service updates. Coordinate and prioritize daily service workflow, working closely with technicians to keep repairs moving efficiently and on schedule. Create and maintain accurate work orders, repair estimates, service documentation, and customer records. Manage parts operations, including identifying, sourcing, ordering, receiving, and distributing parts for truck and trailer repairs. Maintain appropriate parts inventory and oversee parts orders, backorders, returns, cores, warranties, and special-order items. Build and maintain vendor relationships to ensure competitive pricing, quality parts, and timely availability. Monitor open repairs and parts needs, proactively addressing delays, availability issues, and changing customer priorities. Support overall shop efficiency, customer satisfaction, cost control, and compliance with company safety and operating procedures. Qualifications 3-5+ years of experience in heavy-duty truck, fleet, diesel repair, service, or parts operations preferred. Previous experience in a Service Manager, Service Advisor/Writer, Parts Manager, Parts Specialist, or similar role preferred. Strong working knowledge of heavy-duty trucks, trailers, diesel repair, and commonly used parts and components. Experience identifying, sourcing, ordering, and managing truck and trailer parts. Ability to understand technician diagnoses and repair recommendations and clearly communicate them to customers. Strong customer service, communication, organization, and problem-solving skills. Ability to manage multiple customers, repairs, parts orders, and priorities in a fast-paced shop environment. Basic computer skills and experience with shop-management, service, inventory, or parts-ordering software preferred; valid driver's license with an acceptable driving record. Physical Requirements Ability to stand, walk, bend, kneel, and work in a shop environment for extended periods. Ability to lift and carry up to 50 pounds, with or without reasonable accommodation. Ability to safely operate tools, equipment, machinery, and vehicles as required. Willingness to work around noise, fumes, dust, moving equipment, and varying temperatures. Schedule This is a full-time position. The Service Manager may be required to work early mornings, evenings, overtime depending on operational needs. $80,000.00 - $90,000.00 per year
