Job Description

Position Summary The Receiving Supervisor is responsible for overseeing all inbound receiving operations while ensuring accuracy, efficiency, and compliance throughout the entire purchase order lifecycle. This position serves as the primary liaison between Purchasing, Vendors, Accounting, Inventory Control, Warehouse Operations, and Shipping to ensure products move seamlessly from purchase order creation through receipt, inventory management, order fulfillment, and customer shipment. The ideal candidate possesses extensive knowledge of warehouse operations, inventory management, ERP systems (preferably NetSuite and
RF-SMART
), purchasing processes, and supply chain logistics. Essential Responsibilities Receiving Operations Supervise daily receiving activities and warehouse receiving personnel. Ensure all incoming shipments are received accurately and within established service level agreements. Verify quantities, part numbers, serial numbers, lot numbers, and product condition. Resolve receiving discrepancies, shortages, overages, and damaged freight. Coordinate with carriers and vendors regarding shipment issues. Ensure all received inventory is properly labeled, documented, and available for put-away. Purchase Order Lifecycle Management Possess a complete understanding of the purchase order process including: Purchase requisition creation Purchase Order creation and approval Vendor acknowledgements Backorders and partial shipments Shipment tracking Receiving against purchase orders Inventory availability updates Vendor invoicing and matching Inventory allocation Order fulfillment Customer shipment Purchase order closure Monitor each stage to identify delays, discrepancies, or opportunities for process improvement. Inventory Management Maintain inventory accuracy through proper receiving procedures. Investigate inventory variances and reconcile discrepancies. Work closely with Inventory Control to resolve on-hand versus available inventory issues. Ensure serial number and lot-controlled inventory is accurately maintained. Support cycle counts and physical inventories.
Cross-Department Coordination Collaborate with:
Purchasing Customer Service Shipping Inventory Control Accounting Sales Warehouse Operations to ensure accurate product flow and timely communication regarding inventory status. ERP System Management Maintain accurate transactions within ERP and warehouse management systems including: Receiving Purchase Orders Inventory Transfers Put-away transactions Serial/Lot tracking Vendor Returns Inventory Adjustments Shipment verification Experience with NetSuite and
RF-SMART
preferred. Vendor Management Communicate with vendors regarding shipment discrepancies. Request missing documentation and tracking information. Monitor vendor delivery performance. Assist Purchasing in resolving vendor-related issues. Team Leadership Supervise, train, and mentor receiving personnel. Develop standard operating procedures. Monitor employee productivity and accuracy. Conduct performance evaluations. Promote a safe, organized, and efficient work environment. Process Improvement Analyze receiving workflows for efficiency improvements. Develop metrics and KPI reporting. Recommend improvements that reduce receiving time and improve inventory accuracy. Participate in continuous improvement initiatives. Qualifications Required 5+ years of warehouse or distribution experience 2+ years in a supervisory role Strong understanding of the complete purchase order lifecycle Experience with ERP systems (NetSuite preferred) Experience using RF-SMART or similar warehouse management software Knowledge of inventory control practices Excellent organizational and problem-solving skills Strong communication and leadership abilities Preferred Lean Warehouse or Continuous Improvement experience APICS or supply chain certifications Experience managing serial and lot-controlled inventory Experience in multi-location warehouse operations Knowledge & Skills Purchase Order Management Supply Chain Operations Warehouse Management Inventory Control Receiving Best Practices Shipping & Logistics Vendor Relations ERP Systems (NetSuite)

They recognize how every receiving transaction affects purchasing, inventory accuracy, customer orders, accounting, shipping, and overall supply chain performance.
