Job Description

Position Summary The Vault Material Control Lead is responsible for the control, integrity, and accountability of all precious metals inventory, including both raw materials and finished goods, within a highly secure vault environment. This role ensures strict adherence to security protocols, inventory accuracy, and chain-of-custody procedures while supporting production, fabrication, and fulfillment operations. This position reports to the operations manager and serves as a key individual contributor supporting vault material control processes. This role will help maintain and improve procedures to ensure accuracy, audit readiness, and secure, efficient material flow across the organization. Key Responsibilities Maintain absolute accuracy of inventory through system management, reconciliations, and controlled documentation practices. Ensure compliance with all security policies, including restricted access, surveillance protocols, and documentation standards. Oversee and execute all vault material control activities, including receipt, storage, movement, and issuance of raw materials and finished goods. Verify weights, counts, and specifications of materials against documentation and system records. Approve and document all material transfers in compliance with internal controls and security requirements. Ensure continuous audit readiness and support internal and external audit activities. Conduct and oversee cycle counts, physical inventories, and reconciliation processes; investigate and resolve discrepancies. Develop, implement, and refine standard operating procedures (SOPs) for vault and inventory control functions. Execute and enforce chain-of-custody and dual-control procedures for all material movements. Monitor inventory trends, identify risks, and implement corrective actions to maintain control and accuracy Maintain organization, cleanliness, and strict control of vault storage areas Serve as a subject matter expert for vault material control processes and systems Qualifications Associate or bachelor's degree Required. 3+ years of experience in inventory control, vault operations, or secure material management Experience working with high value, controlled, or regulated materials strongly preferred Experience with ERP or inventory management systems required Knowledge, Skills & Abilities

  • Strong understanding of inventory control, reconciliation, and audit practices
  • Ability to follow and enforce strict procedures without deviation
  • Strong organizational and documentation skills
  • Analytical thinking with the ability to create and improve systems
  • Clear communication and cross-functional coordination skills
  • Ability to handle confidential and sensitive information
  • Proficient in Microsoft Excel and data analysis tools Physical Requirements Ability to lift and carry up to 35 lbs regularly and up to 70 lbs occasionally Ability to stand, walk, bend, and lift for extended periods Manual dexterity for handling small, high-value items Work Environment Secure vault setting with controlled access Constant video surveillance and adherence to strict security measures Limited personal item access within secure areas High-accountability environment with frequent audits and inventory verification Additional Requirements Must pass background screening and, if applicable, drug testing Adherence to confidentiality and non-disclosure policies is mandatory Willingness to work overtime or adjusted schedules based on operational needs
