POSITION PURPOSE AND OBJECTIVES
To field all incoming calls from clients requesting transportation and communicate with van drivers regarding updates to their daily schedule. This will ensure that the Clinton County public gets to their desired destinations within the community in a timely manner.
SUMMARY:
This position requires the scheduling and overall coordination of transit services to ensure the timely and safe transportation of all passengers. Performance of these duties must be conducted in compliance with all DOT, federal, state, local, and system regulations.
ESSENTIAL FUNCTIONS
¨ Will back up Transportation Coordinator in their absence. Will learn all duties and responsibilities for that position. ¨ Answer incoming calls promptly, gather comprehensive information, and communicate information to the appropriate individual using a telephone, email, or alternative method to facilitate timely pickup and drop off of passengers. ¨ Dispatches/communicates information to drivers, as needed, using a two-way radio system or alternate methods, as necessary, in order to facilitate the timely pick-up and drop-off of passengers. ¨ Provides schedule/route information and directions to drivers, as necessary. ¨ Communicates with the general public, including passengers, families, staff, community agencies, and other providers in person or using telephone, email, or other alternative methods in order to facilitate the timely pickup and drop-off of passengers. Communicate with drivers about changes to manifest or assist with any problems if and when they arise. ¨ Contacts emergency personnel, such as police, ambulance, and fire department, when necessary, using the telephone, email, or alternate methods in order to ensure the safety of all passengers. ¨ Attend Driver and Staff Meetings as scheduled. ¨ Maintain compliance with the four Medicaid providers (LCP, Modivcare, Verida, Welltrans) we are contracted with, learn Medicaid billing in coordinators absence. ¨ Schedule and dispatch trips that are called in daily. ¨ Pull trips from the Medicaid portal for each individual Medicaid provider to current transit software. ¨ Scheduling of clients:
- Enter trip into transportation software system when client calls in for transportation.
- Confirming trips with clients including trips that have been turned down.
- Daily Audits in transportation data software system.
¨ Assist with walk in clients. ¨ Call clients the day before their scheduled transportation and verify trip and give them their pickup time. ¨ Record fare-box money for each vehicle whenever drivers bring in fare box either during the day or at the end of workday, write a receipt when necessary. ¨ Write and distribute receipts for all walk-in payments. ¨ Keep track of working hours for each pay period. . ¨ Secure the building at the end of the day when required or requested.
NON-ESSENTIAL FUNCTIONS
¨ Ability to project a well-groomed, neat appearance. ¨ Ability to react to change productively. ¨ Help with special projects as needed. ¨ Complete and perform other appropriate tasks as assigned or designated by Transportation Coordinator and/or Executive Director.
REQUIREMENTS AND QUALIFICATIONS
Must agree to sign drug free workplace policy, confidentiality policy, non-competition, conflict of interest, standards of conduct. Must agree to have a criminal history and driver record check performed annually. Must possess excellent written and verbal communication skills with clients and staff. Must treat all with dignity and respect. Must have the ability to work with various volunteers, persons with disabilities, and nursing home facilities in Clinton County. Must report any abuse or neglect situations to Transportation Coordinator. Must be willing and able to follow instructions and/or suggestions from the Executive Director and Transportation Coordinator. Must be well organized, and attentive to detail. Must have good public relations skills. Ability to assist and support others. Able to operate telephone, copier, software system used by transportation and other basic business machines.
PHYSICAL REQUIREMENTS
To perform the essential functions of this job, the employee is regularly required with or without reasonable accommodation to: Ø Ability to sit in a normal seated position for extended periods of time. Ø Paying attention to detail is especially crucial in scheduling. Ø Normal hearing, with the aid of corrective devices, as needed (i.e., hearing aids). Ø Normal vision with the aid of corrective devices, as needed (i.e., glasses or contacts). Ø Ability to react calmly when problems arise. Ø Talk accurately, clearly, and loudly, (if necessary) when answering phone calls. Ø Frequent movement using wrists, hands, and or fingers. Ø Ability to implement emergency procedures if safety situation presents itself.

Ability to evaluate, determine and communicate the proper course of action in situations that may pose a safety risk. 2. Ability to effectively communicate, including: a. WORKING CONDITIONS
The dispatcher's hours of work and work schedule vary. The position requires being seated for extended periods of time. The work environment is controlled setting with normal temperatures and prominent levels of light. The position requires frequent interactions with drivers and the public.
