Job Description

POSITION SUMMARY
The Lead Transportation Coordinator is a key operational leader responsible for orchestrating daily logistics while enhancing the overall guest and associate experience. This role sets the standard for communication, organization, and service excellence while overseeing transportation operations and pre-arrival planning for golf guests to ensure a seamless, personalized experience. Additionally, the Lead supports training and onboarding of new coordinators, reinforcing best practices and setting the team up for long-term success.
ESSENTIAL FUNCTIONS
Oversee all guest and associate transportation services, ensuring timely, efficient, and seamless movement across resort locations. Manage and respond to transportation requests across all channels (phone, radio, apps, email) with professionalism and urgency. Lead pre-arrival communication for golf guests, confirming transportation needs and delivering a high-touch, personalized experience. Coordinate daily scheduling and dispatch operations, aligning vehicles, drivers, and demand. Monitor real-time transportation activity and proactively resolve service gaps or operational challenges. Maintain accurate records, including trip logs, reports, and communication tracking. Serve as the team's communication standard, modeling clarity, hospitality, and responsiveness. Support training, onboarding, and development of coordinators, including SOP adherence and process improvements. Collaborate with cross-functional departments and provide hands-on operational support during peak periods or staffing gaps.

Minimum Degree Required:
High School Diploma or Equivalent Preferred Degree:
Associate Degree Certificate(s) or License(s): Valid Driver's License Years of experience: 2-4 years transportation coordination, dispatch, hospitality operations, or related field

Strong leadership presence with ability to set standards and positively influence team performance Excellent multi-channel communication skills with a focus on clarity, tone, and responsiveness Advanced organizational and multitasking abilities in a fast-paced, high-demand environment Proven ability to solve problems in real time and make sound operational decisions Experience with scheduling, dispatching, or transportation coordination systems Ability to train, coach, and develop team members effectively Strong guest service mindset with a focus on delivering personalized, high-touch experiences High attention to detail with strong follow-through and accountability

PHYSICAL REQUIREMENTS
Regularly completes computer work, walks, and sits. Occasionally stands and lifts up to 50lbs.
Additional Physical Requirements:
Frequent bending, lifting, kneeling, reaching, and working in shop environment around vehicles and mechanical equipment.

INDEPENDENT JUDGEMENT
Performs tasks and duties under general supervision, using established procedures and innovation. Chooses from limited alternatives to resolve problems. Occasional independent judgment is required to complete work assignments. Often makes recommendations to work procedures, policies, and practices.
MANAGEMENT LEVEL
Hourly Role will have no direct reports. Role is typically full-time. Role needs email access. Role is rarely able to work remote. Role does not drive more than 30%. MVR not required.
