Salary Apply Description Position Summary:
The Fleet Manager is responsible for owning the management of maintenance and repairs of the Philabundance fleet which includes both commercial trucks and non-commercial vehicles. The Fleet Manager will also collaborate and cover with the needs of the dispatcher role during peak times or when coverage is needed. Responsibilities include ensuring vehicle inspections (pre-and-post trip) are conducted daily in accordance with FMCSA regulations by Philabundance driving team. The Fleet Manager owns the overall vehicle inspection function of CDL fleet vehicles. The Fleet Manager is responsible for providing input to improve metrics and requirements that will support the overall Transportation goals. On time delivery, budgetary requirements, streamlining processes and adjustments to ensure efficiency will be monitored and ensured by the Manager of Transportation Operations. There will be a direct collaboration with the Logistics Analysis role.

Primary Responsibilities:
Plans, directs, and coordinates all delivery and backhaul activities with food flow departments, events, agencies and PCK. Manages outbound, inbound, support to PCK Catering, Meal Programs and Philabundance special events. Oversee the daily operation and coordination of the food bank's vehicle fleet, including trucks, vans, and refrigerated units. Ensure timely and efficient transportation of food donations and distributions across the service region. Develop and manage delivery routes to maximize efficiency, minimize fuel costs, and meet distribution schedules. Mentor and guide drivers, schedule, and support drivers, including training, performance management, and compliance with safety standards. Maintain fleet compliance with all federal, state, and local transportation regulations, including DOT requirements where applicable. Coordinate routine maintenance, inspections, and repairs to ensure all vehicles are safe, reliable, and in good working condition. Track and manage fleet-related expenses, including fuel usage, maintenance costs, and vehicle lifecycle planning. Implement and monitor safety programs to reduce accidents, ensure proper food handling, and maintain cold chain integrity for perishable items. Maintain accurate records of vehicle usage, maintenance logs, driver certifications, and regulatory documentation. Collaborate with warehouse, logistics, and program teams to align transportation operations with distribution needs and community demand. Manage relationships with external vendors, including maintenance providers, leasing companies, and fuel suppliers. Support emergency response and disaster relief logistics by ensuring fleet readiness and rapid deployment capabilities. Identify opportunities for process improvements, cost savings, and sustainability initiatives (e.g., fuel efficiency, route optimization). Assist in budget planning and forecasting for fleet operations and capital expenditures. Ensure adherence to organizational policies, food safety standards, and mission-driven service delivery. Projects that are prioritized and aligned with this role as is needed. Responsible for supporting and aligning with Philabundance Cultural pillars. Ensure communications, actions and interactions reflect a focus on People, Professionalism, Partnerships, and Progress.
Additional Duties:
Supports internal audits with accurate and timely documentation related to fleet. Provides support with expansion and changes of the Transportation fleet processes regarding output, sustainability, selection of automation and process improvements.
Qualifications Educational Achievement:
High School Diploma or GED preferred. Extended Degree in logistics, business, or management preferred. Serve Safe Certification preferred. Must be able to certify within 30 days of hire. Strong Knowledge of Federal DOT rules and regulations CLD license highly preferred.
Work Experience:
A minimum of 5 years dedicated to logistics, fleet maintenance dispatching responsibilities or equivalent required. Knowledge of commercial truck vehicle maintenance. Previous experience managing logistics. Experience managing a fleet of commercial vehicles. Strong knowledge of Shipping/Receiving, Quality Control, OSHA and Federal and local DOT Safety rules and regulation required. Proven organizational and communication skills, guide a team with levels and provide senior leadership team with necessary information on an ongoing basis. Successful experience with problem solving and ability to stay nimble in an evolving environment.
Preferred:
Experience in accounting, planning, analytical, and/or reporting experience; ability to identify financial issues and provide cost-effective solutions a plus.
Required Skills and Abilities:
Strong knowledge of Shipping/Receiving, Quality Control, OSHA, and Federal and local DOT Safety requirements. Administrative capability to work with databases, produce reports, communication, analysis and present internally and externally preferred. Commercial dispatch best practices, ideally within a food distribution environment. Ability to manage competing priorities with tight timelines and execute solutions with strong communications and directives. Ability to influence and manage change, unexpected situations and delivery adjustments with ownership, poise, and strong communication, internally and externally. Ability to read, write and complete basic math to support inventory, space calculations and tracking as is needed. Ability to establish and work well within a defined operating system, follow directions, consistent placement, and tracking. Basic ability to enter information into databases, ability to use GPS, tracking equipment and general technological tools as they apply to role. Proficiency with Microsoft Office suite, Zoom, etc. and ability to learn new technologies. Previous experience owning and influencing a complex process to a positive defined outcome. Ability to manage and achieve on-time delivery standards and quality requirements.
Essential Job Functions:
Bend, stop, crouch, climb, stand, sit, walk, and turn/pivot throughout an 8-hour shift, 5 days a week. Move/lower, push/pull and carry objects/parcels no greater than 50 pounds; when moving/lowering, pushing/pulling, and carrying objects/parcels greater than 50 pounds use 2 people or mechanical. Ability to work inside a freezer with a temperature in the range of -10 to 40 degrees Fahrenheit as well as in a humid warehouse. Move packages to heights above shoulder and lower to foot level. Ability to operate pallet jack, both manual and power, and ride jack to load/unload trucks. Reach, grasp, and maintain control of items and materials used to perform activities associated with delivering and picking up packages. Perform additional tasks using simple hand grasp, fine hand manipulation, and reach associated with assigned tasks such as keying. Maintain a work pace aligned by meeting or exceeding piece per minute/production standards. Work in an environment that will contain variable temperatures and humidity, outside weather conditions, exposure to noise, dust/dirt, confined work areas. Must meet all the applicable requirements as specified by OSHA. See, hear, and speak with sufficient capability to perform assigned tasks and maintain proper safety conditions. Maintain an acceptable work pace and align with required personal and team deadlines. Must meet goals.
