This role ensures all vehicles and equipment remain compliant with regulatory requirements while maintaining accurate fleet records, coordinating rentals and equipment assignments, and supporting preventative maintenance and operational tracking efforts. The Fleet Compliance Administrator works closely with field operations, vendors, and internal departments to help ensure the fleet operates efficiently, safely, and in compliance with Company and regulatory standards.
Key Responsibilities:
Tracking fleet compliance requirements including registrations, DOT, CARB, driver documentation, permits, and inspections Serving as the primary point of contact for equipment and vehicle procurement, rentals, and vendor coordination Coordinating equipment, rental vehicle, and fleet deliveries, transfers, returns, and assignments across operating regions Managing the Company's rental vehicle program, including pickup truck rentals, scheduling, billing coordination, tracking, and returns Maintaining the Company's fleet tracking systems to accurately capture all changes in active equipment inventory Monitoring and troubleshooting the interconnectivity of the Company's various fleet management systems Updating and monitoring the Company's fuel card accounts, usage, and exception reporting Working closely with the Company's Fleet Manager to track repairs, preventative maintenance, downtime, and repair status updates Managing the Company's toll accounts and resolving toll violations or discrepancies Assisting with fleet utilization tracking and equipment allocation based on operational needs Coordinating preventative maintenance schedules and ensuring service intervals are maintained Maintaining accurate fleet records, asset files, rental agreements, and supporting documentation Assisting with vehicle onboarding, decommissioning, and disposal processes Supporting accident, damage, and insurance claim reporting as needed Generating fleet-related reports and assisting management with operational tracking and analysis Communicating regularly with field operations, vendors, rental providers, and internal departments regarding fleet status and equipment needs Qualifications:
Fleetio and Samsara experience preferred Strong organizational and multitasking skills Experience working with fleet compliance, vehicle registrations, DOT requirements, and fleet operations preferred Proficient in Microsoft Office, including Excel Strong communication, problem-solving, and follow-up skills Ability to work in a fast-paced operational environment Experience in utility, construction, transportation, or heavy equipment industries preferred Pay:
