Full Time Summary The Billing and Administrative Supervisor is responsible for overseeing warehouse billing processes, administrative functions, and office support activities to ensure accurate invoicing, timely reporting, and efficient day-to-day administrative operations. Duties and Responsibilities Supervise daily billing activities related to warehouse services, storage, handling, transportation, and customer-specific charges. Ensure invoices are processed accurately and submitted on time. Review billing discrepancies, research issues, and coordinate corrections with internal departments and customers. Monitor customer accounts, billing records, and supporting documentation for accuracy. Oversee warehouse administrative operations including data entry, reporting, filing, and document control. Prepare operational and billing reports for management review. Coordinate with warehouse operations, customer service, and finance teams to ensure billing aligns with services provided. Support payroll-related administrative tasks such as attendance tracking and time record review when applicable. Supervisory Responsibilities Manage and lead a team of Customer Service Agents Supervise and support administrative team members, including scheduling, training, and performance management. Educational background / Work experience High school diploma or equivalent required; associate's or bachelor's degree preferred. 3+ years of experience in billing, warehouse administration, or related operational support role. Prior supervisory experience preferred. Preferred Qualifications Strong knowledge of billing systems, warehouse management systems (WMS), and Microsoft Office applications. Strong organizational and problem-solving skills. Ability to manage multiple priorities in a fast-paced warehouse environment. Strong communication and leadership skills. Skills & Competencies Experience with customer invoicing in a logistics or distribution environment. Knowledge of inventory reporting and warehouse documentation. Attention to detail and high level of accuracy. Ability to work cross-functionally with operations and finance teams. Language skills Fluent in English (oral and written) Computer Literacy Proficient in Microsoft Office and CRM software Familiarity with logistics-specific software (e.g.
TMS, WMS
) Physical and/or Mental Requirements / Working Conditions Physical Demands Work is generally sedentary, with no specific need for physical coordination or effort. Hours can be extensive as well as occasionally staggered for multi-shift access.
