Job Description

Position Summary:
The Shipping Coordinator at Cardin McCoy's Brunswick warehouse is responsible for overseeing all aspects of the order fulfillment process to ensure efficient, accurate, and timely delivery of products to customers. This role involves managing the fulfillment team, optimizing warehouse operations, maintaining inventory accuracy, and implementing best practices to enhance overall fulfillment performance. The Shipping Coordinator will collaborate closely with the Production, Shipping, and Operations teams to support the company's commitment to quality and customer satisfaction.
Key Responsibilities:
Order Processing & Fulfillment:
Oversee Daily Operations:
Manage the end-to-end order fulfillment process, including picking, packing, and shipping. Ensure all orders are processed accurately and dispatched within established timelines.
Quality Assurance:
Implement and enforce quality control measures to maintain a ≥99.5% order accuracy rate. Conduct regular audits and spot checks to identify and rectify errors in order processing.
Shipping Coordination:
Liaise with shipping carriers to optimize delivery schedules and reduce shipping costs. Resolve any shipping issues or delays promptly to maintain high on-time delivery rates (≥99%).
Team Management & Development:
Supervise Fulfillment Staff:
Lead, train, and mentor the fulfillment team to achieve high performance and maintain morale. Conduct regular performance evaluations, provide constructive feedback, and identify training needs.
Staff Scheduling:
Develop and manage work schedules to ensure adequate staffing during peak and off-peak periods. Handle staffing adjustments, approve overtime as necessary, and address any team-related issues.
Inventory Management:
Maintain Accurate Inventory:
Oversee inventory tracking systems to ensure real-time accuracy of stock levels. Implement cycle counting and regular inventory audits to maintain ≤2% inventory variance.
Stock Replenishment:
Coordinate with the Production and Purchasing teams to forecast inventory needs and manage reorder points. Prevent stockouts or overstock situations by maintaining optimal inventory levels.
Warehouse Operations & Optimization:
Optimize Warehouse Layout:
Design and maintain an efficient warehouse layout to streamline picking and packing processes. Implement organization systems for storage and easy retrieval of products.
Process Improvement:
Identify inefficiencies in warehouse operations and implement solutions to enhance productivity. Introduce lean principles and continuous improvement methodologies to reduce waste and improve workflow.
Technology & Systems Management:
Fulfillment Software:
Manage and optimize the use of fulfillment management systems (e.g., ShipStation, ShipBob, or proprietary ERP systems). Ensure data integrity and leverage technology to enhance order processing and inventory management.
Data Analysis & Reporting:
Analyze fulfillment data to identify trends, measure performance, and inform decision-making. Generate regular reports on key metrics such as order accuracy, fulfillment speed, shipping costs, and inventory levels.
Cost Control & Budget Management:
Monitor Fulfillment Costs:
Track and manage expenses related to fulfillment operations, ensuring they remain within budget. Identify and implement cost-saving measures without compromising quality or efficiency.
Vendor Management:
Negotiate contracts and terms with shipping carriers and fulfillment service providers to secure favorable rates. Evaluate and select vendors based on performance, cost, and reliability.
Customer Satisfaction & Communication:
Ensure Customer Satisfaction:
Maintain high standards of order accuracy and on-time delivery to enhance customer satisfaction. Address and resolve any customer complaints related to fulfillment promptly and effectively.
Internal Communication:
Collaborate with Production, Marketing, Sales, and Customer Service teams to ensure seamless order fulfillment aligned with business objectives. Communicate regularly with senior management on fulfillment performance, challenges, and improvement initiatives.
Compliance & Safety:
Regulatory Compliance:
Ensure all fulfillment operations comply with relevant local, state, and federal regulations. Maintain up-to-date knowledge of industry standards and implement necessary adjustments to policies and procedures.
Workplace Safety:
Enforce safety protocols and conduct regular safety training sessions for fulfillment staff. Perform safety audits and address any hazards or compliance issues promptly.
Qualifications & Requirements:
Education & Experience:
Education:
Bachelor's degree in Business Administration, Supply Chain Management, Operations Management, or a related field preferred.
Experience:
Minimum of 5 years of experience in fulfillment management, warehouse operations, or a similar role, preferably within the apparel or direct-to-consumer (DTC) e-commerce industries. Proven track record of managing fulfillment teams, optimizing warehouse operations, and maintaining high order accuracy and on-time delivery rates.
Technical Skills:
Software Proficiency:
Proficient in using fulfillment management systems (e.g., ShipStation, ShipBob), ERP systems, and inventory management software. Advanced skills in Microsoft Excel and data analysis tools.
Operational Expertise:
Strong understanding of fulfillment processes, inventory control, and warehouse management best practices. Experience with lean manufacturing principles and continuous improvement methodologies.
