The Role We are looking for a sharp, organized, and self-driven Shipping & Receiving Coordinator who can hit the ground running. This is a hands-on role that sits at the center of our operation, you are the last set of eyes on every outgoing shipment and the first point of contact for every delivery that arrives. We ship products domestically and internationally, including temperature-sensitive materials that must be maintained below 0°F in transit, and our customers are world-class companies with zero tolerance for errors. This is a physical, hands-on role based in our manufacturing facility. You will own and manage the shipping dock and shipping room, keeping them organized, efficient, and running at all times. You must be able to lift a minimum of 50 lbs and be comfortable working in a production warehouse environment throughout your shift. This role is for someone who doesn't need to be reminded to check the dock, update the log, or flag a low-stock item. You communicate proactively, you own your mistakes, and you take the same care with a customer shipment going to Japan as you do with an internal delivery across the building. This person will make the shipping department their own, building the processes, habits, and standards that the entire operation depends on, while working collaboratively with all other departments to ensure smooth, proper product flow. Responsibilities Shipping & Outgoing Orders Prepare, package, and palletize product for domestic and international shipment in accordance with customer specifications and internal SOPs Review every outgoing order before it leaves, verify labels, quantities, lot numbers, and all accompanying documentation for accuracy Complete all required shipping documentation accurately and completely, including Shipper's Letter of Instruction (SLI), packing slips, HazMat forms, commercial invoices, and export paperwork for international shipments Ensure full compliance with U.S. export control regulations including ITAR (International Traffic in Arms Regulations) and EAR (Export Administration Regulations); correctly identify and apply ECCN classifications, export license requirements, and Schedule B codes on all applicable shipments Maintain export compliance records and flag any shipment that may require an export license before it leaves the facility, no exceptions Schedule outgoing shipments, coordinate with domestic and international carriers, and update the shipping log with ship dates and tracking information at time of dispatch Communicate directly with international customers via email to arrange and confirm shipments, professional, timely, and accurate correspondence required Photograph all outgoing shipments prior to carrier pickup and file records accordingly Manage sub-zero cold chain shipments, experience handling materials requiring temperatures below 0°F is required; must be proficient working with dry ice, block grinders, temperature recorders, and pallet wrapping for temperature-controlled outbound shipments Ensure proper packaging, temperature monitoring setup, and documentation for all perishable product, including placement and logging of temperature recorders and adherence to carrier cold chain requirements Monitor and manage the shipping department Ring camera and doorbell; answer and forward incoming department calls Troubleshoot shipping issues and customer complaints and resolve them efficiently Receiving & Inventory Receive all incoming deliveries, verify contents against packing slips, and notify the requestor within 24 hours of receipt For items received without a packing slip, document contents and email a summary to the appropriate team members upon check Update inventory records in real time as materials are received — no end-of-day catch-up Maintain accurate stock levels; monitor min/max thresholds and initiate reorders proactively, before stock runs out Replenish reactor floor PPE and operational consumables on a consistent, scheduled basis Clear dock items within 2 hours of receipt (general); items requiring forklift or inter-building movement within 24 hours Inspect incoming items for damage; complete damage claims for in-transit losses Conduct regular inventory counts and maintain records in the inventory management system Manage freezer space and frozen inventory, monitor capacity, organization, and stock rotation; ensure frozen product is stored correctly and space is allocated efficiently Distribute packages and mail within the facility Sort, stage, and deliver incoming supplies and materials to the appropriate departments upon receipt, ensuring teams have what they need without delay Ordering & Procurement Support Proactively track and place orders for recurring consumables (temp recorders, cores, PPE, etc.) ahead of need, based on known lead times, not reactive to stockouts Maintain a recurring-order tracker; review and action weekly Communicate order status and material availability to the Operations team proactively Documentation, Compliance & Safety Maintain complete, organized shipping and receiving records; prepare regular reports for management Ensure compliance with all applicable export documentation requirements and domestic and international carrier regulations Operate forklift and pallet jack safely per company SOPs and JSAs; complete equipment safety checks before each use Adhere to all PPE requirements at all times in production and S&R areas, safety glasses, steel toe boots, and task-specific protection as required Participate in cross-training opportunities across departments as operational needs arise, including drum winding (narrow widths) adjacent to the S&R workspace; cross-training is a development opportunity, not a primary job requirement Qualifications Required 3-5 years of hands-on experience in shipping, receiving, or logistics, manufacturing, aerospace, defense, or specialty materials industry strongly preferred Demonstrated experience with both domestic and international shipping, deep familiarity with carrier systems, export documentation, and international compliance requirements Working knowledge of U.S.

export control regulations:

ITAR, EAR, ECCN

classifications, export license determination, and Schedule B codes, ability to apply these correctly and independently on every applicable shipment Proficiency completing Shipper's Letter of Instruction (SLI) forms accurately and completely, errors in SLI documentation that result in held or denied shipments are not acceptable in this role Hands-on experience shipping sub-zero temperature-sensitive materials, must have worked with dry ice, block grinders, temperature recorders, and pallet wrapping for cold chain shipments.
