Fleet Maintenance Coordinator Position Summary The Fleet Maintenance Coordinator is responsible for overseeing the maintenance, repair, and operational readiness of the company's vehicle fleet. This role ensures all vehicles are safe, compliant with regulations, and maintained in a cost-effective and timely manner. The coordinator works closely with drivers, vendors, mechanics, and internal stakeholders to optimize fleet performance and minimize downtime. Key Responsibilities Fleet Maintenance & Operations Coordinate preventive maintenance schedules for all fleet vehicles and equipment Monitor and track vehicle inspections, service intervals, and repair needs Ensure timely completion of all maintenance and repair activities Maintain accurate maintenance records and vehicle history Vendor & Repair Management Liaise with external service providers, repair shops, and parts suppliers Obtain quotes and approve repair work within budget guidelines Evaluate vendor performance and negotiate service agreements when needed Track and manage warranty claims and service contracts Compliance & Safety Ensure fleet complies with all federal, state, and local regulations (e.g., DOT, OSHA) Monitor vehicle inspection reports (DVIRs) and ensure corrective actions are completed Support safety initiatives and ensure vehicles meet company safety standards Maintain documentation for audits and regulatory reviews Cost Control & Reporting Track maintenance costs, fuel usage, and overall fleet expenses Identify cost-saving opportunities and efficiencies in fleet operations Prepare and present reports on fleet performance, maintenance metrics, and downtime Fleet Asset Management Assist with vehicle acquisition, disposal, and replacement planning Monitor fleet utilization and lifecycle management Maintain inventory of spare parts, tools, and supplies Communication & Coordination Act as the primary point of contact between drivers, maintenance teams, and management Respond to breakdowns and emergency repair needs Provide updates on vehicle status and repair timelines Qualifications Education & Experience High school diploma or equivalent required; associate's or bachelor's degree preferred 2-5 years of experience in fleet management, maintenance coordination, or a related field Experience in transportation, logistics, or heavy equipment environments preferred Skills & Competencies Strong organizational and multitasking abilities Knowledge of vehicle maintenance practices and industry regulations Proficiency with fleet management software and Microsoft Office (Excel, Outlook) Excellent communication and vendor management skills Problem-solving ability with attention to detail Basic mechanical knowledge is highly preferred Work Environment Combination of office and field/yard environment May require occasional after-hours availability for emergencies Interaction with drivers, technicians, and third-party vendors Physical Requirements Ability to occasionally lift up to 25 lbs May require walking and standing in maintenance yard or shop environments
Pay:
$22.00 - $30.00 per hour
