The Safety & Fleet Coordinator is responsible for safety and fleet compliance across the organization. This role focuses on maintaining safe, compliant, and efficient fleet operations, with particular emphasis on fleet maintenance and field operations. The Safety & Fleet Coordinator helps implement safety programs, conducts inspections and training, and supports fleet administration. This position serves as a key liaison between frontline employees and management to promote a strong, companywide safety culture. This position reports to Operations Leader Key Responsibilities Safety & Compliance Lead monthly safety toolbox talks and maintain attendance records Report and track all safety warnings and incidents Serve as liaison to company Safety Coordinators and external partners Train field employees on Job Hazard Analyses (JHAs) and safety procedures Own accident reporting workflows and partner on Workers' Compensation and Return‑to‑Work processes Manage PPE inventory, assignments, and replacement schedules Conduct regular audits of PPE, ladders, and first aid kits Maintain inspection logs and compliance documentation Incident Prevention & Response Participate in incidents, accidents, and near-miss investigations, including working with management on injury reporting. Track corrective actions and support follow-up activities to prevent recurrence. Ensure proper action is taken for accident, incident and injury reports. Fleet Operations Own and manage the Enterprise Fleet System, including alerts, records, and reporting Maintain accurate driver, vehicle, and driver‑to‑vehicle assignment records Manage vehicle registrations, license plates, and tabs, ensuring accuracy and timely delivery Coordinate vehicle adds, deletes, and changes with Finance Administer Motor Vehicle Records (MVRs) and toll account tracking (as processes are finalized) Track full vehicle lifecycle from sourcing through return or replacement Monitor mileage and proactively plan vehicle replacements Coordinate vehicle sourcing, transfers, and orders in partnership with internal teams and vendors Manage vehicle delivery logistics and confirm readiness prior to deployment Oversee vehicle outfitting, graphics, branding, and required modifications Manage vehicle returns, offboarding, and deployment checklists Review and approve fleet maintenance requests Coordinate fuel card ordering, assignment, and PIN management with Finance Monitor fleet spend and maintenance trends Support repair vs. replace decision‑making using fleet data and cost analysis Partner with analysts and Finance to review usage and expense data Monitor driver performance systems and safety indicators Coordinate driver training, coaching, and corrective actions as needed Monitoring, Reporting & Metrics Prepare, maintain, and store fleet and safety documentation Maintain OSHA logs, Workers' Compensation records, and safety reports Complete annual OSHA reporting and monthly worked‑hours reporting Ensure compliance with company policies and applicable regulations Qualifications Experience in safety coordination, fleet operations, maintenance environments, or a related field preferred. Experience with Enterprise Fleet Management is a plus. Working knowledge of OSHA and other applicable safety and environmental regulations is a plus. Strong communication, organizational, and relationship-building skills. Ability to conduct training and engage employees in safety initiatives. Proficient in tracking data, preparing reports, and using safety metrics to drive improvement.
