Job Description

Job Summary We are seeking a proactive and detail-oriented Fleet Coordinator to oversee the efficient management of our vehicle and equipment fleet. This role involves coordinating maintenance activities, supporting operational logistics, and ensuring optimal fleet performance. This role is critical in bridging operations, maintenance, and inventory control. The ideal candidate will possess strong organizational skills, mechanical knowledge, and experience in supply chain and procurement processes. Join us to play a vital role in maintaining a reliable fleet that supports our operational excellence and customer satisfaction across the state of NY. Our fleet is located in Syracuse, Utica, Albany and Binghamton. Responsibilities Coordinate scheduled preventative maintenance, repairs, and inspections for fleet vehicles and equipment. Manage supplier relationships, negotiate pricing, and oversee procurement of parts, services, and equipment to ensure cost-effective sourcing. Monitor inventory levels of parts, supplies, and tools through warehouse management systems; ensure accurate data entry and inventory control. Support demand planning by analyzing usage patterns, forecasting needs, and optimizing procurement schedules to prevent shortages or excess stock. Oversee shipping & receiving processes for parts and equipment, ensuring timely delivery and proper documentation. Collaborate with automotive service providers, in-house, dealerships, OEMs (Original Equipment Manufacturers), and repair shops to coordinate repairs and sourcing of automotive parts. Support shop organization and workflow efficiency Maintain detailed records of maintenance activities, inventory transactions, supplier communications, and compliance documentation to support audit readiness. Light travel may be required based on fleet concerns and business need. Requirements Strong organizational and administrative skills with ability to manage multiple priorities and deadlines. Proven experience in supply chain management, procurement management, or logistics within an automotive or manufacturing environment. Knowledge of inventory management techniques including demand planning, inventory control, shipping & receiving procedures. Ability to operate step-vans safely. Excellent negotiation skills with suppliers; experience in sourcing OEM parts or dealership environments is highly desirable. Familiarity with Microsoft Office software for work order tracking; proficiency in data entry and record keeping is essential. Strong customer service orientation with the ability to communicate effectively across teams and external partners. Preferred Strong mechanical knowledge with familiarity in automotive diagnostics, auto body repair, HVAC systems, equipment repair, and automotive service procedures. Hands-on experience with warehouse management systems, ERP (Enterprise Resource Planning) platforms such as AS400 or similar order management systems.
