Job Description
General Function:
Neighborhood Health Association (NHA) is seeking a full-time position for our Facilities department. This person is responsible for providing administrative and operational support through the coordination of mail services, office supply distribution, and fleet maintenance activities. This position requires the ability to work independently, exercise sound judgement, maintain confidentiality and effectively prioritize multiple responsibilities. The role serves as the primary point of contact for inner office mail operations while assisting with the organization's vehicle fleet to ensure safe, efficient, and compliant transportation resources.Position Overview:

Mail Services Perform daily pickup and delivery of interoffice mail between all Neighborhood Health Association (NHA) locations according to established schedules. Pick up U.S. Mail from Post Office; sort, distribute, and process incoming mail appropriately. Prepare, meter, and process outgoing mail daily, ensuring accurate postage application and account allocation. Maintain postage usage logs and prepare monthly postage reports for Accounts Payable by the third working day of each month. Monitor postage meter balances and order additional postage as needed to avoid uninterrupted operations. Deliver office supplies, packages, and other organizational materials between NHA locations. Deliver documents and packages requiring signatures to external organizations, vendors, or business partners as directed. Fleet Maintenance Coordination Coordinate routine, maintenance, preventative service, inspections, and repairs for the organization's vehicle fleet. Schedule oil changes, tire rotations, repairs and other preventive maintenance to minimize vehicle down time. Maintain vehicle maintenance records, including service histories, registrations, insurance documentation, and inspection reports. Monitor vehicle registration renewals, license plates, and compliance requirements to all ensure all fleet vehicles remain operational and legally compliant. Coordinate with vendors, repair facilities, and service providers regarding maintenance and repair scheduling. Track mileage, fuel usage, maintenance expenses, and service intervals. Assist in maintaining fleet inventory, including vehicle assignments, keys, fuel cards, and related documentation. Ensure vehicles are clean, properly equipped, and available for staff.Qualifications:
