Job Description
Position:
Supervisor, Central Receiving
Primary Purpose:
Responsible for the supervision, coordination and managing the receipt, distribution, documentation, and delivery of all district materials, supplies, equipment and mail. This position ensures accurate inventory tracking, timely deliveries, proper receiving procedures, and compliance with district purchasing and accounts payable requirements. This position also serves as the backup to the Warehouse Supervisor as needed.
Education/Certification:
GED/High School Diploma, preferred
Valid Texas Driver's License; must be insurable by district's insurance carrier
Forklift certified (willing to obtain within 30 days)
Special Knowledge/Skills:
Demonstrates excellent organizational, communication and interpersonal skills
Ability to read and comprehend guidelines, manuals and publications
Ability to train staff on assigned responsibilities
Ability to operate district wide computer system
Ability to supervise staff as assigned
Experience:
Three years experience in a warehouse related work environment preferred
Major Responsibilities and Duties:
Receiving and Distribution
Receive, inspect verify, and document all materials, supplies, equipment, furniture, and deliveries received districtwide.
Unload and load packages form various different carriers.
Verify shipments against purchase orders, packing slips, and receiving documents for accuracy and completeness.
Identify and report damage, missing, or incorrect items and coordinate corrective actions with vendors and purchasing staff.
Coordinate and schedule deliveries of materials, equipment, and supplies to campuses and departments.
Maintain organized receiving and storage areas to ensure safe and efficient operations.
Ensure timely distribution of all incoming materials to the appropriate location.
Returns and Vendor Coordination Coordinate and process all district returns, exchanges, warranty claims, and vendor credits.
Communicate with vendors regarding damaged, defective, or incorrect shipments.
Maintain documentation related to returns, credits, and replacement items.
Track outstanding returns and ensure timely resolution.
Mail and Delivery Services Coordinate and oversee district mail services, including internal mail distribution and outgoing deliveries.
Schedule and coordinate driver routes, campus deliveries, mail deliveries, custodial supply deliveries, and special shipments.
Ensure timely delivery of mail, packages and district materials.
Maintain records of deliveries and shipments as required. Central Receiving Operations Operate warehouse equipment in accordance with safety regulations and district procedures.
Ensure Compliance with district safety standards and warehouse best practices.
Ensure timely delivery of mail, packages and district materials.
Maintain a clean safe working environment. Warehouse Operations Serve as backup to the Warehouse Supervisor during absences or as assigned utilizing Brightly inventory.
Operate warehouse equipment in accordance with safety regulations and district procedures.
Complete periodic inventory counts and audits.
Support inventory control. Purchasing and Accounts Payable Documentation Complete receiving transactions in the district's financial management system (eFinance) accurately and in a timely manner.
Process and maintain all receiving documentation required for account payable.
Match packing slips with purchase orders and receiving records to ensure proper payment processing.
Maintain records of all receipts, deliveries and returns. Other Duties Maintain positive working relationships with district staff, vendors, and contractors.
Comply with all district policies, procedures, and safety requirements.
Perform all other duties as assigned by Director of Maintenance & Facilities.
Reading, writing and understanding written and verbal instructions
Tools/Equipment Used:
Standard office equipment including computer and peripherals; forklift or hydraulic lifting equipment; hand truck, dolly, and pallet jack; small hand tools; light truck or van with appropriate training and certification
Posture:
Frequent standing, kneeling/squatting, bending/stooping, pushing/pulling (weighing up to 50 pounds), and twisting
Motion:
Repetitive hand motions; frequent keyboarding and use of mouse; frequent walking, climbing ladders and scaffolding; grasping/squeezing, wrist flexion/extension, and overhead reaching; frequent driving
Lifting:
Heavy lifting and carrying (50 pounds and over) on a daily basis
Environment:
Exposure to seasonal weather changes, works around machinery with moving parts, works around moving objects or vehicles; exposure to dampness and humidity; slippery or uneven walking surfaces, occasional exposure to dangerous chemicals

Pay Grade:
Manual Trades Pay Grade 4, 250 Days
Min:
$16.48/hour
Mid:
$19.86/hour
Salary based on job-related experience.
Other Information:
The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.
