Job Description
PHYTEC America is a leading designer, manufacturer and supplier of embedded System on Modules (SOMs), miniature industrial computers. Our SOMs are insert-ready hardware, designed around advanced system on chips (SoCs) with accompanying Linux and Android Board Support Packages (BSPs). Device designers and manufacturers leverage PHYTEC SOMs, BSPs and design services to quickly and easily bring complex products to market. Our SOMs have been deployed in thousands of cutting-edge applications ranging from supercomputers, EV systems, advanced robotics, medical devices, edge compute engines, enterprise infrastructure, renewable energy, automation, and more. We seek a talented Sales Operations Coordinator to join our team on Bainbridge Island. In this role you will be at the center of our order fulfillment and customer operations process, working closely with the Sales, Supply Chain, Engineering, and Accounting teams. You will report directly to the Sales Manager. Your Responsibilities Receive and process incoming shipments from global suppliers, including international shipments from Germany, China and Malaysia Prepare product for outbound shipping: pull from inventory, assemble kits, package product, and generate shipping waybills and export documents Process customer orders including PO confirmations, sales order and invoice creation, and credit card transactions Provide customers with order status updates and shipment tracking information Maintain accurate inventory records and conduct regular stock-book reconciliations Keep the stockroom organized, secure, and well-stocked with shipping supplies Serve as the initial point of contact for reviewing and processing customer Purchase and Sales documents Provide customer quotations, upon request Maintain and update internal Standard Operating Procedures (SOPs) in the company Wiki Manage customer and supplier information across multiple databases Assist with outgoing purchase order creation and coordination with shipping service providers (DHL, UPS, and FedEx) Your Qualifications Two or four-year degree in Supply Chain Logistics, Business Administration, Accounting or related field; work experience accepted in lieu of education Experience with order management or Enterprise Resource Planning (ERP) software; QuickBooks experience is a plus Familiarity with international shipping and export documentation is preferred Experience with collaboration tools (i.e. Slack, JIRA and Confluence) Advanced Microsoft Office skills (Excel, Word, and Outlook) Ability to provide proof of a legal right to work in the U.S. after hire Your Skills The ideal candidate is a self-starter, with great attention to detail, who possesses a strong degree of ownership whether working independently or within a team.
