Job Title:
Purchasing Specialist Job Description The Purchasing Specialist assists in purchasing low to medium value and risk goods for resale, including materials for outside warehouses and consignment locations. This role supports the procurement and sales teams by managing the vendor quoting process, including quote tracking, requisitioning, and analysis. The Purchasing Specialist maintains accurate records of all quotations, vendor communications, and related documentation while working under the general supervision of the Procurement Supervisor and the Vice President of Operations. Responsibilities Purchase low to medium value and risk goods for resale, including materials for outside warehouses and consignment locations. Buy hardware and related materials required to support electrical supply operations. Generate purchase orders to vendors for resale materials and ensure the timeliness and accuracy of all orders. Coordinate consistent purchasing activities to maintain emergency stock while optimizing inventory levels. Receive bids from customers for materials and ensure all bid information is properly documented and processed. Support the procurement and sales teams by managing the vendor quoting process, including quote tracking, requisitioning, and quote analysis. Coordinate and manage quotations in assigned areas of responsibility, ensuring all quotes are accurate and complete. Maintain accurate records of all quotations, vendor communications, and related documentation. Work closely with internal teams to provide customers with necessary information during the quotation process, including price, quality, lead time, technical information, documentation, and samples as needed. Collaborate with the sales team to prioritize and manage outstanding quotations, ensuring prompt follow-up and resolution. Clearly communicate and provide all relevant product and application information, working with the sales team and vendors to obtain additional information as needed. Collaborate and communicate effectively with other teams, asking questions and sharing information to support overall operations. Establish and maintain appropriate minimum and maximum inventory levels for material supplies using ERP, CRM, and related tools. Problem solve procurement, vendor, and quoting-related issues and escalate matters as appropriate. Assist with emergency response efforts, including coordinating storm shipments, alternate products, and expedited deliveries with vendors. Perform special projects as assigned and provide backup support to the Operations group. Organize and manage multiple quotes and purchasing activities simultaneously, ensuring accuracy and timeliness in all tasks. Essential Skills Experience in purchasing and procurement of materials for resale, warehouses, or consignment locations. Demonstrated ability to generate accurate purchase orders and coordinate purchasing activities to maintain appropriate inventory levels. Strong organizational skills with the ability to handle multiple quotes, bids, and purchasing tasks at the same time. Ability to manage and track vendor quotations, including requisitioning, analysis, and documentation. Proficiency with Microsoft Excel, including pulling information and using data to help create or support processes. Experience using ERP, CRM, or MRP systems to manage purchasing, inventory, and supply chain activities. Ability to maintain strong vendor relationships within assigned areas of responsibility. Strong communication skills, with the ability to clearly convey product, pricing, and application information to internal teams and vendors. Ability to work collaboratively with procurement, sales, and operations teams to support customer quotation and fulfillment needs. Problem-solving skills for addressing procurement, vendor, and quoting-related issues and escalating when necessary. Additional Skills & Qualifications Experience purchasing materials for warehouses or electrical supply environments. Familiarity with establishing minimum and maximum inventory levels for material supplies. Background in working with cooperatives or similar entities in coordination with outside sales teams. Experience with supply chain processes and concepts. Exposure to SAP or similar ERP systems. Experience supporting emergency response efforts, such as coordinating storm shipments or expedited deliveries. Ability to assist with special projects and serve as backup support for operations teams. Work Environment The role is based in a warehouse setting within an electrical supply environment. The position follows a Monday through Friday schedule, typically from approximately 7:00 or 7:30 a.m. to 4:00 p.m. The work involves frequent interaction with procurement, sales, operations, and vendors, as well as regular use of
ERP, CRM, MRP
systems, and Microsoft Excel to manage purchasing, inventory, and quotations. The organization offers benefits and paid time off. Job Type & Location This is a Contract to Hire position based out of Louisa, VA. Pay and Benefits The pay range for this position is $28.85 - $31.25/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
