Typing Full Job Description Purpose:
The Medical Receptionist/Call Center Operator plays a vital role as the first point of contact for patients both over the phone and at the front desk. This position is responsible for assisting patients, managing calls, verifying insurance, processing payments, and ensuring accurate documentation in the clinic's Electronic Health Record (EHR). •Employees enjoy a 36-hour workweek, with Wednesdays usually ending early. Please note that some Wednesdays may require extended hours depending on business demands . This position is based in our Kailua office, with occasional travel to our Waipahu office as needed. (Monday, Tuesday, Thursday and Friday 8am to 5pm. (Wednesday 8am to 12pm).
Main Responsibilities & Duties:
Manage large volumes of inbound and outbound calls in a timely, professional manner, always identifying self and clinic. Provide assistance to patients and callers by answering questions, taking messages, or directing calls appropriately. Complete initial registration of new patients according to established policies and procedures. Update patient information in the computer database and scan paperwork into the EHR under the correct tabs; document phone notes as appropriate. Follow communication scripts when handling different call topics. Identify patient and customer needs, clarify information, research issues, and provide solutions or alternatives. Navigate through patient charts in the EHR to locate and verify information. Maintain the daily Heart and Vein Hawaii worklist provided by management. Inform patients of share of cost and co-pays for all types of payers. Verify medical patients' insurance coverage, including Medicare, HMSA, Quest, Managed Care, commercial, and federal/state programs. Verify pharmacy and other clinical information related to patient visits. Process patient payments over the phone. Document collection notes, payment arrangements, failed appointment notices, and other relevant communications. Monitor the automatic call reminder system and reconcile cancellations with the schedule. Make manual appointment reminder calls as needed. Other duties as assigned by supervisor.

Skills & Abilities:
High School Diploma or GED required; Medical Assistant certificate recommended. Proficiency with Microsoft Word for basic correspondence. Minimum typing speed of 40 WPM. Strong numerical skills; must be able to use a calculator. Bilingual (English/Spanish, English/Punjabi, English/Hmong) preferred but not required. Ability to adapt to changing duties and clinic environment. Clear knowledge of Heart and Vein Hawaii clinic structure, standards, and protocols.
Communication Skills:
Neat, legible handwriting. Ability to interact with patients courteously and calmly. Strong verbal communication skills in a professional office environment.
Physical Requirements:
Ability to hear and clearly communicate by phone and in person. Ability to lift up to 40 pounds and push up to 100 pounds (on wheels). Adequate vision to read memos, computer screens, and forms. High manual dexterity. Ability to reach above shoulder level, bend, squat, sit, stand, stoop, crouch, kneel, twist, and turn as needed.
