Job Description

POSITION OVERVIEW
(exempt): The Clinic Registration Manager oversees all clinic patient registration and scheduling operations to ensure accurate, efficient, and patient'centered access to care. This role manages registration and scheduling staff, monitors performance metrics, ensures compliance with regulatory requirements, and collaborates with clinical and administrative teams to support smooth patient flow and an exceptional patient experience.
QUALIFICATIONS
Associate's or bachelor's degree in healthcare administration, Business, or related field preferred. Equivalent experience will be considered. 3-5 years of experience in patient registration, medical office operations, or healthcare administration. 2+ years of experience managing EPIC registration modules (Cadence and Prelude) 1 year in a supervisory or leadership role within a healthcare setting preferred. Knowledge of insurance processes, medical terminology, and revenue cycle workflows.

POSITION-SPECIFIC REQUIREMENTS

Ability to manage multiple priorities in a fast'paced environment. Problem'solving skills with a focus on efficiency and patient experience. Overseeing daily operations of clinic registration and patient access across multiple departments. Ensures accurate, timely patient registration, insurance verification, and customer service Manages day-to-day provider scheduling and rescheduling practices Maintaining efficient staffing patterns that support operational effectiveness and fiscal responsibility. Leads a team focused on delivering a positive patient experience, optimizing workflow, and aligning staffing resources with organizational productivity and budget targets.
MANAGEMENT REQUIREMENTS
Administrative Responsibilities Supervise, train, and evaluate patient registration and front'desk staff. Develop staffing schedules to ensure adequate coverage and efficient workflows. Conduct performance reviews, provide coaching, and support staff development. Foster a positive, team'oriented environment focused on service excellence. Participates in team-based interviews of applicants Resolve escalated registration or customer service issues. Maintain updated knowledge of payer requirements, prior authorizations, and coverage rules. Fosters an environment that values continuous quality improvement Promotes initiatives in care delivery and practice that focus on patient safety Financial/Technical Responsibilities Oversee point'of'service collections and financial counseling processes. Analyze registration metrics and prepare reports for leadership. Assist in developing and monitoring department budgets. Partner with billing and revenue cycle teams to reduce denials and improve clean claim rates Oversees ordering and stocking of supplies needed for direct reports to minimize overstocking and cost Personnel and Resource Management Oversee configuration and optimization of EPIC Cadence and Prelude modules. Work closely with IT and clinical leaders to support efficient patient flow and scheduling practices. Collaborate with human resources regarding employee concerns in a proactive manner Participate in interdisciplinary meetings and quality improvement initiatives. Communicate changes in policies, procedures, or payer requirements to staff. Monitor registration related work queues and resolve errors or bottlenecks. Professionalism Leads staff by example Actively participates in professional affiliations as assigned by the Director of Clinics Assumes personal responsibility for professional growth and continuing education Exhibits excellent customer relations with patients, visitors, physicians, and co-workers Presents a positive/professional hospital image Establishes and maintains effective and professional working relationships with employees, policy-making bodies, third-party payers, patients, and the public Uses discretion to retain information that is confidential Applies effective communication skills and keeps lines of communication open with staff and other managers to ensure high employee morale and a professional, healthful atmosphere Quality Management Remains informed of current and relevant trends and practices affecting healthcare Oversee the complete patient registration process, including demographic entry, insurance verification, consent forms, and payment collection. Ensure accurate documentation to support billing, coding, and compliance standards. Monitor patient wait times, check'in efficiency, and overall front'desk performance. Ensure compliance with HIPAA, insurance regulations, reimbursement guidelines, and organizational policies. Conduct routine audits of registration accuracy, insurance verification, and financial processes.
WORK ENVIRONMENT
: Standard outpatient clinic environment. Requires prolonged sitting, standing, and occasional lifting of up to 20 lbs. May require flexible hours based on clinic needs.
