Job description: Company Overview We are well-established and growing construction firm specializing in water & wastewater infrastructure projects, including treatment plants, pump stations, utility & mechanical systems. Our team is committed to delivering high-quality, compliant, and environmentally responsible solutions for our municipal, commercial and private clients. Position Summary We are seeking a highly organized and detail-oriented Administrative Assistant to support our Project Manager(s) and Construction Team in the bidding, coordination and execution of our construction projects. This role is essential in ensuring smooth day-to-day operations, accurate documentation, and effective communication across project teams. Key Responsibilities Provide administrative support to the Project Manager and project team Maintain and organize project documentation, including contracts, permits, submittals, RFIs, etc. Assist with scheduling meetings, site visits, and project timelines Track project progress and update internal reporting systems Coordinate communication between field staff, subcontractors, vendors, and clients Prepare and process invoices, purchase orders, payment requisitions, etc. Assist with compliance documentation related to environmental and safety regulations Manage filing systems (digital and physical) for all project records Support bid preparation and proposal documentation as needed Qualifications 2+ years of administrative experience, preferably in construction or engineering Familiarity with construction documentation (RFIs, submittals, change orders) is a strong plus Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with project management software (Procore, PlanHub, etc..) is a bonus Strong organizational and multitasking skills Excellent written and verbal communication skills Ability to work in a fast-paced environment and meet deadlines High attention to detail and problem-solving ability Preferred Qualifications Experience in water, wastewater, civil, or infrastructure construction projects Knowledge of compliance requirements (OSHA, environmental regulations) Associate's or Bachelor's degree in business administration or related field preferred.
