Project Manager Position Summary The Construction Project Administrator provides administrative and project coordination support to Construction Project Managers to ensure projects are executed efficiently, accurately, and in compliance with company standards. This role is critical to keeping construction projects organized, on schedule, and properly documented while allowing Project Managers to focus on execution in the field.
Key Responsibilities:
Project Administration & Document Control Maintain organized digital and physical project files for active construction projects Track and manage project documentation including contracts, subcontracts, change orders, RFIs, submittals, drawings, and revisions Ensure current documents are distributed to the appropriate internal teams and external partners Log and archive meeting minutes, inspection reports, permits, and compliance documentation Scheduling, Coordination & Communication Manage Project Manager calendars, including meetings, site visits, inspections, and coordination calls Coordinate communication between Project Managers, field teams, subcontractors, vendors, inspectors, utilities, and clients Draft and distribute professional correspondence, meeting agendas, and follow-up action items Financial & Vendor Support Assist with invoice processing, purchase orders, and expense tracking Track subcontractor payment applications, lien waivers, and required financial documentation Support job cost tracking and coordinate with accounting and payroll as needed Subcontractor, Safety & Compliance Administration Assist with subcontractor onboarding, including contracts, insurance certificates, and W-9 documentation Track permits, inspections, licenses, and insurance expiration dates Maintain safety documentation including training records, certifications, and incident reports Reporting & General Project Support Prepare project reports, spreadsheets, and presentations for internal and client use Track project milestones, deadlines, and open action items Order office and jobsite supplies as needed Handle confidential information with professionalism and discretion Qualifications 2+ years of administrative or project coordination experience, preferably in construction Strong organizational and document control skills Familiarity with construction project workflows and terminology preferred Proficiency in Microsoft Office (Excel, Word, Outlook); experience with project management software is a plus Strong written and verbal communication skills Ability to manage multiple projects and priorities in a fast-paced environment
