Responsibilities:
Role Overview:
What You'll Be Doing The Crew Logistics Coorinato r is responsible for booking all travel, hotel accommodations, airline travel on/off tour, training travel and rental car scheduling, among other duties for Wheels Up crew members. Your Key Responsibilities (Essential Functions) Coordinate airline travel, ground transportation, and rental car arrangements for crew members, including on/off tour and training travel Monitor travel itineraries to proactively identify and resolve conflicts, delays, or last-minute changes Maintain accurate crew travel records and documentation in internal systems Communicate closely with Crew Scheduling, Training, Operations, and external vendors to ensure seamless logistics Support irregular operations (IROPs) by quickly adjusting travel plans as needed Ensure compliance with company travel policies and cost-control guidelines Assist with special projects, audits, or process improvements related to crew logistics and travel efficiency Any additional duties and responsibilities assigned by the role's direct report

Education & Certification Requirements We're looking for someone who has a unique mix of experience, skills, and passion for what we do: High school diploma or GED required 2+ years of experience in travel coordination, logistics, operations support, or customer service Experience working in a fast-paced, time-sensitive environment Valid driver's license The Extras We Value (Preferred Requirements) While not mandatory, here are some additional things that would make you stand out: Prior experience in aviation, crew scheduling, airline operations, or corporate travel management Familiarity with airline booking tools, hotel reservation systems, and travel management platforms Experience supporting 24/7 or shift-based operations Strong organizational skills with the ability to manage multiple itineraries simultaneously Demonstrated problem-solving skills and attention to detail Proficiency in Microsoft Office and/or Google Workspace applications Experience collaborating across departments in an operational environment Physical Requirements We want to make sure you're fully equipped for success. Here's a look at any physical requirements needed for this role: Ability to sit for extended periods while working at a computer workstation Ability to use a computer, keyboard, phone, and headset for prolonged periods Ability to view and accurately interpret information across multiple screens Ability to communicate clearly and effectively via phone, email, and messaging platforms Ability to remain focused and responsive in a high-volume, fast-paced operational setting Ability to work extended shifts (up to 11 hours) including nights, weekends, and holidays

Salary Range & Benefits At Wheels Up, we believe in fair compensation based on experience, skills, and qualifications. The compensation for this role ranges from $48,000/Yr. to $60,000/Yr., depending on a variety of factors. We don't typically start individuals at the top of the salary range; your place within the range is based on what you bring to the table. Additionally, you may be eligible for a discretionary annual incentive program, which rewards individual and organizational performance.
