Job Description

Job Summary The Customer Service Representative oversees daily operations as assigned by the agency owner. Provides excellent customer experience for potential and existing customers. Assists the agency owner with attaining agency service goals. Maintains effective customer relationships, understands customers' needs, and matches them with appropriate product and service offerings. Responsibilities Manages office operations and related reporting Drive positive customer service satisfaction by following American Star Best Practices to attract and retain clients Greet and assist visitors, clients, prospects and vendors in a friendly and professional manner Answer incoming telephone calls, text and voicemail for the agency office Enter client payments for in-force policies. Close out of agency EFT and assure deposits are made on time Respond to client inquiries regarding but not limited to coverages, billing, claims or products by following established agency processes and procedures Process changes to existing accounts and policies. Maintain information in the agency's client database, proactively update account information such as phone numbers, e-mail and home address, employment, etc. Inform clients of existing coverages on their policies as indicated in the company's records Provides personalized, professional customer service experiences by building trust and developing strong customer relationships Serves as a liaison on behalf of the customer between the agency and various business partners Assists customers with claims by directing them to the appropriate Claims Department contacts and resources. Follows up to ensure customer needs are addressed Determines need and collects information needed to process quotes/applications/change forms Input data, generate appropriate correspondence and forms and edit/save quotes/applications in client database Upload documents and digital photos to client database/EDMS as required by underwriting guidelines Sort and distribute incoming and outgoing mail Schedule/confirm appointments for agent & office manager and enter into Outlook calendar Organizing and upkeep of files, filing, shredding and help maintain clean and professional office environment Create print ads and e-mail to vendors from MOD. Enter co-op reimbursements and e-mail to appropriate marketing department Input/update client/prospect information, property valuations, quoting information for agent or office manager to present Manage agency correspondence as required Updating and purchasing of office supplies and forms Prepare marketing reports and recommendations to agent Continue to maintain and develop knowledge of American Family products and services and support efforts to provide a high level of client service as well as increase agency business Facilitate quote/policy issuance Qualifications Valid driver's license required Ability to work independently to plan, set priorities and organize work Experience with PC software applications, such as Microsoft Office Suites, Internet Explorer Demonstrated customer service experience Effective communication skills Benefits/Perks Competitive hourly pay rate plus commission and/or bonuses Paid training
