Customer Service Representative- Commercial HVAC

Customer Service Representative (CSR) - Commercial HVAC We are seeking an experienced Customer Service Representative (CSR) to join our growing commercial HVAC team. This role is critical to daily operations and requires strong technical, organizational, and customer service skills in a fast-paced service environment. The ideal candidate will be a self-starter, energetic and a team player.

Key Roles and Responsibilities:

Answer incoming customer calls and schedule service appointments Dispatch technicians efficiently using ServiceTitan Manage and update customer, job, and location data with accuracy Perform data entry, auditing, and cleanup to ensure system integrity Coordinate communication between customers, technicians, and management Maintain organized service schedules and respond to urgent service needs Support administrative tasks including invoicing, work order processing, and documentation Provide professional, friendly customer service at all times Create and manage service agreements and preventative maintenance schedules Coordinate site access requirements, key contacts, and building rules for technicians Verify work order details, scope, and priority before dispatch Process purchase orders, work authorizations, and customer approvals Communicate ETA updates and job status to property managers and facility contacts Review technician notes for accuracy and completeness prior to billing Assist with billing inquiries, warranty claims, and service history requests Track open service calls, callbacks, and parts-on-order jobs Support project managers with scheduling and job documentation Maintain compliance records including permits, certificates, and safety documentation Follow up on completed work to ensure customer satisfaction Escalate critical system outages or comfort issues to management when required

Qualifications:

Previous experience in commercial HVAC or related service industry Strong administrative and clerical skills High level of organization and attention to detail Proven experience dispatching technicians in a high-volume, fast-paced environment Excellent data entry and system management skills Hands-on experience with ServiceTitan preferred Ability to multitask and remain calm under pressure Strong verbal and written communication skills
