This role sits at the center of the client experience, from onboarding through offboarding, while also serving as a right hand to the owners and leadership team. You'll guide clients, solve problems, protect our standards, and uphold company policies with warmth, confidence, and professionalism. You'll also help protect executive time and keep internal operations and events running smoothly. Client support is the core of this role, but no two days will look exactly the same. You must be someone who can do, will do, and is ready to jump in when needs arise, whether that means handling a client escalation, resolving a calendar conflict, or coordinating unexpected event details. You'll serve as a bridge between our clients and operations and become someone leadership can trust to get things done. This position requires a high level of trust, ownership, organization, communication, and follow through. We can teach you our systems and processes, but you must bring initiative, sound judgment, and a willingness to learn. What You'll DoClient Experience Guide clients through onboarding, ongoing support, renewals, and offboarding with clarity and confidence. Respond to client questions with urgency, warmth, and accuracy. Help clients feel supported through thoughtful communication, consistent follow up, and proactive guidance. Create "wow moments" through recognition, encouragement, and personal touches that build loyalty. Ensure clients have access to the correct programs, calls, and resources. Disputes & Conflict Resolution Prepare and submit organized, factual, and thorough dispute documentation and supporting evidence. Handle client escalations professionally with a calm tone and firm boundaries. Document client interactions clearly to protect the company and maintain accurate context. Escalate concerns to leadership when appropriate. Executive & Leadership Support Manage leadership calendars, scheduling, inboxes, and daily priorities. Coordinate Zoom calls, internal meetings, and VIP sessions. Manage follow ups, confirmations, and reminders. Draft and send clear communication to clients, team members, vendors, and attendees. Maintain organized files, documents, and records. Track deadlines, commitments, and action items through completion. Maintain the confidentiality of all company and client information. Event Planning & Execution Coordinate live and virtual events. Create event timelines, checklists, and schedules. Manage RSVPs, attendee lists, seating, and event logistics. Coordinate vendors, schedules, and event details. Order and organize signage, name tags, printed materials, supplies, and other event materials. Support onsite execution, including setup, attendee flow, and VIP coordination. Culture & Team Support Assist with team events, celebrations, and recognition activities. Support leadership in maintaining consistent team communication and cadence. Contribute to a positive, high performing environment. Help maintain organization and clarity across departments. Whatever It Takes Handle occasional errands and high trust, time sensitive tasks. Jump in on needs that arise for the owners or leadership team. Adapt quickly to new tools, processes, responsibilities, and expectations as the company grows. What We're Looking For Customer service or client support experience is required. Excellent written and verbal communication skills. Strong organization and time management skills. Ability to manage multiple projects, priorities, and timelines. Strong attention to detail and consistent follow through. Ability to take initiative, apply training, and work independently once processes are learned. Ability to coordinate vendors, schedules, and logistics professionally. Comfortable interacting with leadership, clients, vendors, and team members. Proficiency with Google Workspace, Zoom, spreadsheets, project management tools, and CRM systems. Ability to learn new systems quickly and retain processes after limited training. Experience with GoHighLevel, Kajabi, Slack, ClickUp, Asana, Monday, or Stripe is a plus. Compensation $35,000 to $40,000 per year, based on experience. What We Offer 5 days of paid time off annually.
