This role is critical—every lead, quote, and client interaction must be handled quickly and professionally. In addition to office coordination, this position supports daily social media activity, client follow-ups, and overall business organization to ensure consistent growth and strong client relationships. Main Duties Client Communication & Follow-Up Respond to all calls, texts, and messages in a timely and professional manner. Follow up with leads and existing clients to ensure no opportunities are missed. Maintain clear and consistent communication with clients. Lead & Quote Tracking Track all incoming leads, quotes, and client interactions. Ensure all estimates are logged, updated, and followed up. Keep accurate records of job status and client activity. Scheduling & Coordination Schedule jobs and coordinate with field crew. Communicate job details clearly between office and field. Help keep daily operations organized and on schedule. Invoicing & Office Records Create and send invoices using QuickBooks. Track office expenses and maintain organized records. Ensure all documentation is accurate and up to date. Social Media & Marketing Support Support daily social media posting and message responses. Monitor and respond to inquiries from social platforms. Assist with organizing content for marketing use. Occasionally assist with or appear in social media content Office Organization & Support Maintain a clean, organized, and efficient office system. Support overall administrative tasks as needed. Ensure daily operations run smoothly without delays. Experience Proven experience in office management or administrative roles with a focus on client service and operational support Supervising experience demonstrating leadership in managing teams or projects effectively Strong proficiency with QuickBooks or comparable bookkeeping software for financial transactions Excellent schedule management skills to coordinate multiple calendars seamlessly Vendor management experience including negotiating contracts and maintaining supplier relationships Knowledge of human resources processes such as onboarding, payroll processing, and employee record keeping Familiarity with event planning from logistics to execution for internal or external gatherings Prior experience in medical office management or healthcare settings is a plus but not required Exceptional communication skills with the ability to handle front desk duties professionally and courteously Strong organizational skills with keen attention to detail in filing, documentation, and administrative procedures Join us in creating an efficient, welcoming environment where teamwork thrives!
