This position is responsible for coordinating our field crews, managing the daily schedule, communicating with customers, and helping ensure jobs are completed efficiently and professionally. This is a fast-paced position that requires strong communication skills, attention to detail, and the ability to manage multiple priorities throughout the day. Responsibilities Schedule and dispatch field technicians and crews to job sites. Coordinate daily schedules based on job requirements, crew availability, location, and equipment needs. Communicate job details, addresses, contacts, scope of work, and special instructions to field crews. Monitor job progress throughout the day and communicate delays or schedule changes. Answer incoming customer calls and respond to emails. Schedule customer appointments and confirm upcoming jobs. Provide customers with updates regarding technician arrival times and scheduling. Maintain professional communication with customers, contractors, project managers, and field employees. Enter and update customer and job information in the company CRM/dispatch system. Create and update work orders. Maintain detailed notes regarding customer communication, schedule changes, and job status. Follow up with technicians regarding completed jobs, additional work, return visits, and missing information. Review completed work orders for accuracy and required documentation. Assist with tracking employee time and field crew activity. Coordinate last-minute schedule changes and emergency service requests. Escalate customer or operational issues to management when necessary. Assist management with preparing the following day's schedule. Qualifications Previous dispatching, scheduling, customer service, or office coordination experience preferred. Experience in construction, field service, HVAC, plumbing, electrical, restoration, transportation, or a similar industry is a plus. Strong verbal and written communication skills. Excellent organizational and multitasking abilities. Strong attention to detail. Comfortable working with computers, email, CRM systems, and scheduling software. Ability to communicate professionally with customers and field employees. Ability to remain calm and organized when schedules change unexpectedly. Strong problem-solving skills. Dependable, punctual, and responsible. Able to work independently and take ownership of assigned responsibilities. Ideal Candidate We are looking for someone who: Takes initiative and follows through. Does not leave customer calls or emails unanswered. Keeps accurate notes and documentation. Can manage several crews and jobs at the same time. Understands the importance of keeping customers informed. Can communicate clearly and professionally with field employees.
