Job Description

Position Summary The Customer Experience & Operations Coordinator is the heartbeat of Graham's Flooring & Design. This person creates exceptional first impressions, ensures every customer feels welcomed and cared for, and helps keep our office and operations running smoothly. From the first phone call to the final thank-you card, this role helps deliver the "red carpet experience" that sets Graham's Flooring apart. Success in this position comes from building relationships, communicating proactively, staying organized, and supporting teammates so every customer receives an outstanding experience. Responsibilities Customer Experience Create a warm, welcoming experience for every customer by phone, email, text, and in person. Answer and direct incoming calls professionally. Respond promptly to online inquiries. Qualify new customer inquiries and schedule in-home design consultations. Assist showroom customers with product information and next steps. Coordinate customer communications, thank-you cards, review requests, referral acknowledgements, and follow-up. Help ensure every customer receives our signature "red carpet experience." Operations & Administration Maintain accurate customer information in flooring software. Manage office notifications, filing, spreadsheets, and administrative documentation. Process payments, invoices, delivery tickets, installer bills, and other daily transactions. Assist with accounts receivable activities including billing, statements, and collections. Coordinate meetings, office supplies, equipment maintenance, mail, bank deposits, and office errands. Support the Operations Administrator and other departments as business needs require. Other duties as assigned Sales Support Schedule estimating appointments and create sales opportunities in software. Order and track flooring materials, samples, and special orders. Verify manufacturer inventory and prepare warranty information. Maintain showroom displays, product samples, QR codes, and backstock. Assist with marketing initiatives, customer events, social media, surveys, newsletters, and referral programs. Support the sales team so they can deliver exceptional customer experiences. What Success Looks Like After six months, you: Create an outstanding first impression for every customer. Respond quickly and professionally to customer inquiries. Keep the office organized and running smoothly. Communicate proactively and identify opportunities to support teammates and improve workflow Take ownership of problems and see them through to completion. Look for ways to improve processes rather than simply maintaining them. Represent Graham's Flooring & Design with professionalism, warmth, and integrity. Knowledge & Skills Exceptional customer service and communication skills. Strong organization and attention to detail. Ability to prioritize multiple tasks in a fast-paced environment. Have a proven track record of successfully learning new software and being able to interact effectively with Artificial Intelligence. Proficiency with Microsoft Outlook, Word, Excel, and common office software. Positive attitude with a desire to learn and continuously improve. Reliable, accountable, and committed to following through. Able to communicate effectively with customers, vendors, installers, and teammates.
