Service & Laboratory Coordination:
Manage incoming service and calibration requests from customers. Coordinate instrument intake, service tracking, status updates, and completion documentation. Maintain service reports, calibration records, certificates, and customer documentation. Manage service laboratory operations, including tracking supplies, maintaining organization, and ensuring adequate inventory stock. Assist customers with instrument troubleshooting and provide technical support when needed. Develop and maintain procedures to improve service workflow and operational efficiency.
Sales Support & Customer Relations:
Create and submit formal quotes, purchase orders, and invoices. Follow up with customers regarding quotes, invoices, and outstanding requests. Manage customer communications through phone and email while providing professional technical support. Assist clients in selecting appropriate products and services based on their application requirements. Maintain strong customer relationships through timely communication and issue resolution.
Administrative Responsibilities:
Manage and maintain CRM platform records, including contacts, opportunities, leads, and customer activity. Track leads, quotes, and customer follow-up activities. Maintain accurate records across quoting, service, and customer management systems. Assist with process improvements and automation to increase efficiency.
Inventory & Shipping Management:
Manage product inventory levels, including stock tracking, audits, and replenishment needs. Maintain inventory records for instruments, accessories, consumables, and service parts. Coordinate receiving, packaging, and shipment of customer instruments and products. Prepare domestic and international shipments, including required documentation. Ensure accurate tracking of incoming and outgoing equipment.
Additional Responsibilities:
Support daily business operations. Collaborate with management, technicians, vendors, and customers to ensure service commitments are met. Maintain a high level of accuracy, professionalism, and customer satisfaction while managing multiple responsibilities.
