Job Description

Overview Our wealth management practice is seeking a detail-obsessed Client Service Administrator to handle the operational and administrative engine of the office. This role is ideal for someone who takes genuine pride in accuracy, organization, and getting every detail right the first time. Because our practice works across multiple custodians and platforms, precision and consistency across different systems are the heart of this job. You will work alongside our Registered Client Associate and lead advisor, handling the preparation, documentation, and logistics that keep the practice running smoothly. No securities license is required to start. Duties Enter and maintain client data in the CRM with complete accuracy Prepare and stage new-account and transfer paperwork across multiple custodial platforms for licensed review and submission Assist with preparing insurance and annuity application paperwork for licensed review Maintain accuracy and consistency when working across differing platform workflows Manage scheduling, client appointments, and calendar coordination Handle mailings, document processing, e-signature requests, and follow-up logistics Organize and maintain client files and records in compliance with firm procedures Answer and route client calls, greeting clients warmly and professionally Provide general administrative support to the advisor and
Registered Client Associate Note:
This role does not accept trade instructions, provide account information requiring a license, or submit registered transactions — those are handled by our licensed team. Qualifications 3+ years in a detail-intensive administrative, operations, or client service role — experience in financial services, insurance, legal (paralegal), banking, or medical/records administration is strongly preferred Exceptional accuracy and attention to detail — the single most important quality for this role Comfort learning and working across multiple software platforms and systems without errors Strong organizational skills and the ability to manage many moving pieces without dropping any Comfort with technology, CRMs, and standard office software Professional, warm communication style with clients Reliability and discretion in handling confidential information Growth Opportunity We will support the right candidate in pursuing securities licensing (Series 7/66) over time for those interested in advancing into a registered role Stable, professional environment with a clear division of responsibilities
Pay:
$55,000.00 - $65,000.00 per year
