Job Description
Customer:
Job associated with the charge Maintain supporting documentation for reconciliation and audit purposes Customer Billing (Contra Invoice Creation) Generate the corresponding customer invoice in QuickBooks for each validated charge Ensure the charge is billed to the correct customer account Include appropriate references such as service date or hauler invoice reference Ensure billing is completed promptly after identifying charges Timely billing is essential to maintain transparency and protect company margins. Customer Communication Communicate directly with customers regarding overage or contamination charges Provide clear explanations and supporting information when necessary Maintain professional and service-oriented communication Ensure customers understand the cause of charges and available options Service Optimization & Customer Advisory For customers who routinely receive overage or contamination charges, this role will: Proactively advise customers of service adjustments that may reduce recurring overages Recommend possible changes such as: Increased pickup frequency Larger container sizes Additional containers Work collaboratively with Sales and Operations to implement improvements This advisory component makes the role a valuable contributor to customer satisfaction and operational efficiency . Credit Requests & Dispute Resolution Many overage and contamination charges require verification or correction.Responsibilities include:
Submitting credit requests to haulers when charges appear incorrect Communicating with vendor billing departments to resolve disputes Tracking open disputes until resolution Ensuring approved credits are applied correctly The goal is to recover credits quickly and prevent unnecessary vendor costs . Coordination with Operations & Service The Overage & Contamination Coordinator will work closely with Operations and Service teams to determine the root cause of recurring issues.Responsibilities include:
Coordinating with Operations when repeated overages occur Communicating with Service teams regarding customer site issues Helping identify operational patterns that contribute to contamination or overages Waste Compliance Coordination When recurring overage or contamination events occur, the coordinator will: Liaise with Operations to coordinate Waste Compliance Supervisor routes Ensure site inspections occur when needed Help identify operational or behavioral causes of contamination or overages Assist in implementing corrective measures Ideal Candidate Profile This role is best suited for someone with a customer service, inside sales, operations coordination, or account management background , rather than a traditional accounting role.The ideal candidate is:
Highly organized and detail-oriented Comfortable communicating with both customers and vendors Strong at problem solving and follow-up Able to manage multiple tasks simultaneously Motivated to resolve issues quickly and accurately Candidates who enjoy investigating problems, coordinating solutions, and improving processes will thrive in this role. Preferred Qualifications 2+ years experience in customer service, account coordination, or inside sales Strong communication and interpersonal skills Experience working with vendors or service providers Familiarity with QuickBooks or similar systems preferred Strong organizational and time management skills Why This Role Matters Overage and contamination charges are one of the most common sources of unexpected waste costs. When these charges are not properly identified, disputed, or communicated, they can negatively impact both customer relationships and company profitability. The Overage & Contamination Coordinator ensures these charges are accurately recorded, billed quickly, disputed when necessary, and prevented in the future , making the role a key contributor to both operational improvement and financial performance. Key Performance Metrics Success in this role will be measured by: Speed of entering hauler bills into QuickBooks Speed of generating corresponding customer invoices Number of vendor disputes successfully resolved Amount of credits recovered from haulers Reduction of recurring overage and contamination issues Customer communication and satisfactionPay:
