Position Overview The Office Coordinator is the heartbeat of our office — the person who keeps communication flowing, customers smiling, and our field crews set up for success every single day. You'll be the first voice our customers hear and the anchor who makes sure every estimate, appointment, and follow-up happens without a hitch. This role is perfect for someone who takes pride in being organized, communicates with warmth and professionalism, and loves being the glue that holds a busy team together. No two days are exactly the same, and that's what makes it great. Key Responsibilities Serve as the primary point of contact for inbound customer calls, texts, and emails — responding promptly and professionally to inquiries, estimate requests, and project questions. Schedule and coordinate estimates and appointments, ensuring our field crews have everything they need before they arrive on site. Manage the daily schedule and dispatch of field technicians, keeping jobs on track and communicating any changes in a timely manner. Build and maintain strong customer relationships through consistent follow-ups, appointment confirmations, and post-job check-ins. Manage job records, customer information, and project files in Housecall Pro to ensure accurate and up-to-date data at all times. Coordinate material and supply orders to support job readiness and minimize delays in the field. Utilize Google Workspace (Gmail, Drive, Docs, Sheets) for daily communications, document management, and reporting. Support the owner and team with administrative tasks, special projects, and any operational needs that arise. Maintain a clean, organized office environment that reflects the professionalism of our brand. Proactively identify opportunities to improve office workflows, communication processes, or customer experience. What We're Looking For Prior experience in an administrative, office coordinator, or customer service role — ideally within the home services, construction, or trades industry. A warm, people-first communication style with the ability to build rapport quickly over the phone and in writing. Strong organizational skills and the ability to manage multiple priorities without letting anything slip through the cracks. Comfort working in a fast-paced, high-communication environment where the schedule can shift quickly. Proficiency field service management software (or willingness to learn quickly). Familiarity with Google Workspace tools (Gmail, Drive, Docs, Sheets, Calendar). A self-starter mindset — someone who takes ownership of their role and looks for ways to make the team better without being asked. Excellent written and verbal communication skills with a professional and friendly tone. Ability to work fully onsite at our Port Orange office during regular business hours. What We Offer Competitive hourly pay: $18 - $24 per hour, depending on experience. Paid time off (PTO) and paid holidays.
