Company Management Benefits Paid holidays Health insurance stipend 401k Position Summary JC Landscape & Tree LLC is seeking a dependable, organized, and professional Office Assistant to support the company's daily administrative and customer-service operations. This position will manage incoming customer communication, maintain accurate CRM records, assist with scheduling, prepare job documentation, and support management across the company's landscaping, hardscaping, tree care, lawn maintenance, and snow-removal divisions. The successful candidate must be comfortable working in a fast-paced environment where priorities may change throughout the day. Strong communication, attention to detail, organization, follow-through, and the ability to manage information across multiple departments are essential. Primary Responsibilities Customer Service and Lead Intake Answer incoming phone calls, emails, text messages, and website inquiries. Serve as a professional first point of contact for customers. Collect complete customer and project information. Enter new leads into the appropriate company CRM. Schedule estimates, appointments, and customer follow-ups as directed. Provide basic scheduling and job-status updates. Route customer questions and concerns to the appropriate manager or division. Follow up on open estimates and customer requests when assigned. CRM and Office Administration Maintain accurate customer, estimate, job, and property records. Upload job photos, site maps, proposals, documents, and customer notes. Update lead and job statuses as work progresses. Maintain company calendars and appointment information. Create and organize electronic and physical job files. Prepare reports, spreadsheets, forms, and tracking sheets. Maintain confidentiality involving customer, employee, payroll, and company information. Keep office procedures, templates, and records organized and current. Scheduling and Production Support Assist management with scheduling estimates, crews, projects, and service routes. Communicate approved schedule changes to customers and employees. Confirm that required job information is complete before work is scheduled. Prepare production packets containing job notes, maps, photos, material information, and customer instructions. Track jobs waiting for scheduling, materials, deposits, approvals, or additional information. Coordinate utility-locate requests and other pre-job administrative requirements when assigned. Notify management when information is missing or a scheduling issue requires attention. Support seasonal scheduling for landscaping, hardscaping, tree care, lawn maintenance, and snow operations. Billing and Administrative Support Assist with preparing estimates, proposals, work orders, and invoices. Record customer deposits and payments in the appropriate system. Follow up on unpaid invoices when directed. Organize receipts, vendor invoices, purchase records, and job-related paperwork. Assist with timecard review and payroll preparation. Support basic bookkeeping and data entry. Maintain accurate records in company software. Report discrepancies to management. Customer Follow-Up Follow up with customers after completed work when assigned. Send approved review requests and track customer responses. Document customer complaints, concerns, and warranty requests. Bring unresolved customer issues to management's attention. Help maintain professional and consistent communication throughout the customer experience. Qualifications Two or more years of office administration, scheduling, customer service, or similar experience preferred. Landscaping, construction, home-service, or field-service experience is helpful but not required. Strong verbal and written communication skills. Professional and confident phone presence. Strong organizational skills and attention to detail. Ability to manage multiple priorities and follow-up items. Comfortable using Microsoft Word, Excel, Outlook, and shared calendars. Experience with CRM, scheduling, payroll, or accounting software preferred. QuickBooks, ADP, Jobber, or ArborNote experience is a plus. Experience using AI productivity tools is a plus. Willingness to learn company systems, services, and procedures. Dependable attendance and the ability to work full-time in the Eldridge office. Strong follow-through on assigned responsibilities. Identifying and reporting problems before they affect customers or production. Introductory and Training Period This position includes a 90-day introductory period. Training will cover company services, customer-intake expectations, CRM and scheduling procedures, estimate and invoice workflows, payroll and administrative support, customer communication standards, confidentiality, and company policies. Responsibilities may expand as the employee demonstrates accuracy, dependability, and an understanding of company operations.
