The Ideal Candidate:
Must be willing to work CST hours if in PST time zone, no exceptions Highly motivated self-starter with strong ownership of responsibilities Thrives in a dynamic, fast-paced small business environment A logistics expert who can confidently coordinate LTL, TL, intermodal, and parcel shipments A customer-first communicator who is both tactful and responsive Experienced in vendor management, QuickBooks Online, and CRM tools Comfortable working independently and managing multiple priorities simultaneously
Key Responsibilities:
Logistics & Shipping, Schedule LTL, TL, intermodal, and small parcel shipments Present freight rate options for quoting and order planning Generate and manage shipping documents (BOLs, packing lists, export/customs forms) Book shipments and coordinate with customs brokers when needed Manage freight claims, re-classes, re-weighs, and no-shows Maintain complete digital order records in
QuickBooks Order Management:
Own the full drop-ship order lifecycle across all sales channels Create and manage customer orders and vendor purchase orders Track and confirm delivery dates, shipping status, and proof of delivery Maintain accurate customer and vendor records Review open order reports and follow up with vendors
Vendor Management:
Monitor purchase order status and coordinate lead times Handle accounts payable calls and occasional vendor appreciation gifts Reconcile vendor statements and resolve discrepancies
Customer Experience:
Respond to inbound calls, voicemails, and email messages Provide timely updates, order tracking, and post-sale support Maintain customer and contact records in
CRM Sales & Admin Support:
: Assist the sales team by logging and managing CRM leads Help maintain customer order and payment portals Log customer communications and sales support tasks Work with company CPA on basic bookkeeping responsibilities
Required Qualifications:
2+ years of experience in logistics, vendor management, or customer service Strong organizational, written, and verbal communication skills Proficient in QuickBooks Online, Google Workspace (Docs, Sheets, Gmail), and Adobe Acrobat Comfortable working remotely and managing time independently Nice to
Have:
