Trystar is seeking a detail-oriented and customer-focused Order Maintenance Specialist to manage the complete order lifecycle, from purchase order (PO) receipt through invoicing. In this role, you'll be a critical point of contact for our customers, ensuring a seamless experience. Reporting to the Order Maintenance Supervisor, you'll have the opportunity to support a diverse range of products across multiple manufacturing sites. Success in this position hinges on daily interaction with our sales team, customers, and the quotation team to deliver an exceptional level of customer service .
Key Responsibilities:
Manage the entire order processing workflow, from PO receipt to invoicing. Perform commercial review of all order documents. Proactively manage order escalations and resolve invoice disputes. Serve as a primary customer touch point for various inquiries and needs. Collaborate closely with sales, customers, and the quotation team to ensure accuracy and customer satisfaction. In this role you will get to: Initiate discussions to ensure customer's needs are met. Provide a highly responsive interface for both external and internal customers to ensure an efficient, and high-quality order experience for all parties involved. Manage orders and transactions effectively to fulfill customer needs by utilizing appropriate lead times, order management systems, and expert authorities. Cultivate and nurture connections with both external and internal parties to promote success and build trust. Develop strategies to enhance efficiency and optimize business operations. Take initiative in managing orders through cross-team collaboration, ensuring relevant information is captured and communicated.
Job Requirements:
Basic Qualifications Two-Year Degree or Bachelor's Degree Ability to read and understand purchase order requirements Experience in Sales or Customer Experience type role Strong written and spoken vocabulary and ability to communicate with customers via e-mail, chat and phone Strong ability to effectively learn services and solutions and readily apply new knowledge Ability to use digital tools to capture and respond to customer requests Proficient in Microsoft Office 365 Additional Qualifications Experience in an ERP and CRM (Salesforce and Epicor) Highly motivated, passionate, with exceptional written and verbal communications skills Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment High comfort level establishing and growing relationships with customers and internal partners Continuous improvement mindset
