Full Job Description Job Overview:
We are seeking a highly organized, customer-focused Aesthetic Coordinator to join our dynamic team at Renew Plastic Surgery. The Aesthetic Coordinator will be responsible for managing patient relations, coordinating treatment schedules, and assisting with the overall smooth operation of the medical spa and surgery clinic. The ideal candidate will have excellent communication skills, a passion for skincare and aesthetics, and the ability to create a welcoming, luxurious experience for all clients.
Key Responsibilities:
Client Scheduling & Coordination:
Manage appointment bookings for consultations and treatments, ensuring accurate scheduling and optimal utilization of time. Provide pre-treatment information and follow-up care instructions to clients. Confirm and reschedule appointments as needed, maintaining a smooth flow of operations.
Client Interaction & Consultation Support:
Greet clients warmly upon arrival and ensure they are comfortable and well-informed about their scheduled treatments. Assist in educating clients on available services, products, and treatments in line with the medical spa's offerings. Answer client inquiries via phone, email, or in person, providing information on services, pricing, and any promotional offers. Collect and maintain client records, ensuring confidentiality and compliance with HIPAA regulations.
Treatment Coordination & Support:
Assist with preparing clients for their treatments by ensuring all necessary forms, consent documents, and medical history records are completed. Ensure treatment rooms and common areas are clean, stocked, and ready for service. Provide assistance to the medical professionals during treatments as needed (e.g., preparation of materials, post-treatment care).
Sales and Product Recommendations:
Assist with retail sales of skincare products, recommending items based on client needs and treatment plans. Upsell additional services or packages, creating customized treatment plans to meet client goals. Track product inventory, monitor sales goals, and provide input on inventory restocking.
Administrative Support:
Handle general office tasks such as answering phones, processing payments, managing client files, and responding to email inquiries. Ensure all client records are updated in the EHR and kept up to date.
Client Retention & Relationship Building:
Cultivate positive relationships with clients, creating a welcoming and professional environment. Follow up with clients post-treatment to ensure satisfaction and encourage repeat business. Handle client concerns and resolve any issues or complaints with a positive and professional attitude.
Qualifications:
Education & Experience:
High school diploma or equivalent required. 2+ years of experience in a client-facing role in a medical spa, salon, or healthcare setting is preferred.
Skills & Attributes:
Excellent interpersonal and communication skills. Strong organizational skills and attention to detail. Ability to multitask in a fast-paced, high-energy environment. Knowledge of medical spa treatments, surgical procedures, skincare products, and current trends in aesthetics is a plus. Proficiency with scheduling software, point-of-sale systems, and Microsoft Office Suite.
Personal Characteristics:
Passion for skincare, aesthetics, and helping clients look and feel their best. Friendly, approachable, and professional demeanor. Strong problem-solving skills and the ability to handle difficult situations with grace.
Physical Demands:
Ability to stand for extended periods and perform light physical tasks. Must be able to lift and carry up to 25 pounds.
Work Schedule:
Full-time, with an occasional evening. Must be flexible and able to accommodate client scheduling needs.
Pay:
$23.00 - $26.00 per hour
