The Customer Service Coordinator/ Sales Support is a key member of the team as he/she is responsible for assisting team members in many different day-to-day activities. Ideally, this person will have a strong, professional presence with the ability to handle multiple ongoing projects at once while giving customers the best experience possible. Ultimately, this person will be responsible for ensuring a smooth project start to finish, and communicating & working with the appropriate vendors/ departments. This person will also be an exceptional image of amazing customer service that Hamernick's provides. This person will also collaborate with the different departments throughout Hamernick's to assist the Project Managers and ensure customer satisfaction.Key Responsibilities:
Customer Service Collaborate with team members to quickly and efficiently resolve any issues as they arise. Work closely with clients to better understand issues they are having with their flooring and relay information to our quality assurance team, once QA reports back then determine next step for clients. Working with manufacturers to fill out claim forms and tracking the claim through the process until all reimbursements are made from manufacturer. Answers phone calls & emails from customers and helps to resolve issues, passing on information to team members when appropriate. Greets and directs walk-in customers. Packaging and sending sample materials to customers on an as-needed basis. Custom Company Systems Builds, inputs, and manages orders within standard company systems. Communicates with vendors and utilizes vendor systems to track and manage orders. Utilizes company systems to communicate with scheduling, purchasing, and warehouse departments to ensure jobs flow timely and efficiently. Utilizes Measure Square 8 program to create colored floorplans and assists with takeoff and estimating for large- and small-scale projects. Vendor Partners Communicates with vendors to set up product knowledge sessions. Reaches out to vendors to obtain pricing, lead times, and order samples. Accounting Closes jobs and invoices to customers in a consistent and timely manner upon the request of Project Managers, utilizing billing spreadsheets and company systems. Takes credit card payment over the phone for customers of Commercial Design Project Managers. Team Collaboration Communicates with warehouse staff to execute deliveries to job sites, transfers of materials between locations, tracking material returns, and facilitating external service requests. Communicates with other sales associates for customer order collaboration and to support and assist when requested. Additional Tasks Keeps the showroom clean and organized, working with team members to determine when to discard unused or order new displays/samples. Works to source product options either in the library or through vendors or material bank for customer meetings upon request. Communicates with printer company as needed for servicing, keeping on top of regular maintenance. Stocking and refilling supplies needed in office.Requirements:
High school diploma/GED required. Must be flexible with the ability to follow instructions/procedures and change tasks often and quickly. Experience in data entry and customer service. Flooring Knowledge/ Design Knowledge, preferred by not required Strong professional verbal and written skills Ability to assist customers through stressful situations and work towards resolutions Ability to acknowledge a sense of urgency and prioritize tasks. Possesses a strong attention to detail. Ability to work under pressure. Ability to solve problems and research as necessary. Ability to listen intently and act based on little information.
