Job Description
Our client is currently seeking a Customer Service & Planning Coordinator Job Summary The Customer Service & Planning Coordinator role falls under the general supervision of the Procurement Manager with its primary duties covering customer service, order management, planning, and subcontracting activities. This role is responsible for entering and maintaining customer orders and forecasts, responding to customer inquiries, monitoring changes in customer demand, and coordinating information with the appropriate departments within the organization and sub-contractors to support customer schedules. Duties and Responsibilities I. Customer Service Download customer sales orders. Enter and align customer purchase orders and maintain accurate sales order information. Handle customer service inquiries in a timely and professional manner. Verify accuracy of customer orders and related data. Communicate customer order changes, issues, and critical concerns to the appropriate departments. Maintain effective communication with customers regarding orders, schedules, and changes. II. Order & Delivery Support Track customer orders through B2B systems and customer portals. Work closely with Shipping to support on-time customer deliveries. Monitor customer schedules and communicate changes that may affect delivery requirements. Escalate critical customer concerns or delivery risks to the appropriate level of management. III. Planning & Forecast Support Enter and maintain customer forecasts and demand information in the ERP system. Review customer forecasts, releases, and sales orders for changes in demand. Compare forecast information with actual customer orders and identify significant changes or variances. Communicate demand changes to Procurement, Materials, Production, and other affected departments. Support material and production planning by maintaining accurate and timely demand information. Assist in identifying potential material shortages, schedule conflicts, or customer delivery risks. Maintain planning and customer demand reports as required. IV. Subcontracting Monitor availability of production parts requiring subcontracting operations. Coordinate with Shipping and subcontractors to ensure parts are shipped, processed, and returned according to customer requirements. Monitor subcontract inventory and support cycle counts and inventory reconciliation. Perform or support on-site inventory validation when required. V. Purchasing & Materials Support Support placement of supplier orders and scheduling of raw material deliveries as needed. Assist with monitoring material availability against production and customer requirements. Receive products against approved purchase orders when required. Communicate material shortages or supplier delays that could affect customer schedules. Qualifications 2+ years of experience in customer service, order management, production planning, material planning, purchasing, or supply chain coordination, preferably within a manufacturing environment. Experience working with customer orders, forecasts, production requirements, inventory, or material requirements. Experience with ERP/MRP systems required. Proficiency with Excel and general computer applications. Strong attention to detail and ability to maintain accurate customer and planning information. Strong organizational, customer service, and communication skills. Ability to coordinate effectively across Customer Service, Procurement, Materials, Production, and Shipping. Bilingual Spanish is a plus.
