BOSS Facility Services is searching for a knowledgeable and service-focused individual for an Account Coordinator II in our Operations Department. Our ideal candidate always maintains a professional demeanor, exhibits impeccable communication (written, verbal, and listening) skills, and decision-making skills. They must be able to work well under pressure while handling a diverse workload. Knowledge of mechanical trade is not necessary, but prior customer service experience as well as an energetic and enthusiastic attitude are very desirable. This position warrants a friendly, outgoing, positive, and professional manner. We require experience with Microsoft Office 365, but training is provided for the role as well as on our in-house software. This position is full-time and requires you to be on site from 7:30 a.m. to 4:30 p.m., Monday through Friday. Some overtime, including weekends, may be required. Job responsibilities will include, but are not limited to: Client & Location Coordination Schedule services directly with client locations via phone or email Coordinate access, timing, and site requirements for scheduled services Provide factual status updates to locations within defined role scope Escalate client issues or concerns to the Account Manager when needed Third-Party Systems & Portal Management Update and maintain approved third-party client portals Ensure work orders meet all client system requirements Monitor portal compliance and resolve rejections or errors Maintain accurate, timely system updates throughout the work order lifecycle Work Order Closeout & Readiness Partner with AC-I to ensure all closeout documentation is complete Review documentation for accuracy and completeness prior to billing handoff Identify and resolve documentation gaps proactively Track closeout timelines and follow up on outstanding items Coordinate with Process Specialists to ensure clean billing handoff Vendor Quote Intake & Accuracy Review Request vendor quotes when required Review quotes for accuracy, completeness, and alignment to requested scope Ensure labor, material, and pricing details are clearly documented Identify discrepancies or missing information Escalate quotes to the Account Manager for review and approval Material Tracking & Coordination Track materials related to assigned work orders Confirm material availability and delivery timelines Update systems and portals with accurate material status Follow up on outstanding material-related items Escalate material delays that may impact scheduling or completion Process Adherence & Issue Identification Follow established workflows and documentation standards Identify recurring issues, risks, or breakdowns and flag them to leadership Reinforce proper execution across assigned accountsExpectations:
