$20-$25 per hour About Oak & Iron Exteriors Oak & Iron Exteriors is a rapidly growing exterior restoration company expanding throughout Pennsylvania. We help homeowners navigate roofing, siding, and other exterior restoration projects, often involving insurance claims. We believe homeowners deserve consistent communication, honest guidance, and a team that makes a complicated process feel manageable. We are building a strong local team to serve the Philipsburg and State College communities, and we are looking for a Customer Experience Coordinator who will play a central role in that growth. Position Overview The Customer Experience Coordinator is responsible for guiding homeowners through each stage of their project while keeping communication, scheduling, documentation, and internal coordination organized. This is not simply a receptionist or data-entry position. You will be one of the primary points of contact for our customers and an important connection between homeowners, insurance companies, sales consultants, account managers, production teams, and company leadership. The right person will be highly organized, comfortable communicating with different personalities, and capable of keeping multiple projects moving forward without allowing details to fall through the cracks. Key Responsibilities Customer Support and Communication Serve as a primary point of contact for homeowners throughout the insurance claim and restoration process Provide regular, proactive updates so customers always understand what is happening next Answer customer questions with patience, professionalism, and confidence Build strong relationships with homeowners and ensure they feel supported throughout their project Identify concerns or frustrations early and work with the appropriate team member to resolve them Deliver a consistently positive and professional customer experience Project Coordination and Scheduling Coordinate appointments, inspections, adjustments, material deliveries, installations, and follow-up visits Work closely with sales consultants, account managers, production teams, and company leadership Track each project through the required stages and follow up on outstanding items Help ensure files continue moving forward efficiently Confirm appointments and communicate scheduling changes to homeowners and internal team members Escalate stalled files, missing documentation, customer concerns, or scheduling issues when necessary Insurance Claim Support Help homeowners understand the general steps involved in the insurance restoration process Communicate professionally with insurance carriers, adjusters, and other involved parties Follow up on claim documentation, estimates, approvals, supplements, and other outstanding items Maintain accurate notes regarding conversations, claim activity, and next steps Ensure customers feel informed and comfortable without making promises outside the company's control Administrative Support Maintain accurate and detailed customer records in the company's CRM Upload and organize documents, photographs, estimates, agreements, and project information Manage phone calls, emails, text messages, and internal communication Prepare routine documents and customer correspondence Review files for missing information and follow up with the appropriate person Assist local leadership with administrative and operational tasks Support the development of an organized, professional Pennsylvania office What Success Looks Like A successful Customer Experience Coordinator will: Make homeowners feel valued, informed, and supported Communicate before customers feel the need to ask for an update Keep accurate records and detailed notes Move files forward instead of simply documenting delays Follow through on commitments Catch missing information before it becomes a larger problem Maintain professionalism during difficult or emotional conversations Help create long-term customer relationships, positive reviews, and referrals Qualifications Strong verbal and written communication skills Excellent organization and attention to detail Ability to manage multiple customers, projects, and deadlines simultaneously Comfortable making and receiving frequent phone calls Confident communicating with customers during stressful situations Ability to follow established processes while using good judgment Reliable, professional, and accountable Comfortable learning CRM systems and other business software Able to work independently while remaining closely connected to a team High school diploma or equivalent required Experience in customer service, office administration, project coordination, property insurance, construction, roofing, home improvement, or restoration is helpful but not required. We are willing to train the right person who demonstrates strong communication skills, organization, initiative, and character. Candidates should live within a reasonable commuting distance and be comfortable working from a local office.
