Position Summary:
We are seeking a dedicated and friendly Custom Service Administrator to join our well-established pool service company. Reporting to the Branch Managers, the ideal candidate will be responsible for handling incoming communications, general clerical work, inventory & database maintenance and, at times, resolving customer issues in a professional and empathetic manner. Our ideal candidate will have a high level of attention to detail and organizational skills.
Key Responsibilities:
  • Own the customer experience by gathering critical information, assessing customer needs, and coordinating with operations teams to ensure services are scheduled, communicated, and completed successfully.
  • Serve as the customer's advocate by ensuring concerns, requests, and issues are addressed promptly and completely.
  • Proactively communicate service updates, schedule changes, delays, and resolutions to customers
  • Ensure all customer requests, work orders, and service notes are accurately documented within company systems
  • Monitor customer communication channels including phone, email, text, web inquiries, and online reviews - to include including being first to answer incoming phone traffic, emails, and website leads
  • Confirm appointments, communicate service expectations, and prepare customers for upcoming visits
  • Preparing inventory forms and posting inventory transactions in our systems
  • Maintaining our Customer Relationship Management (CRM) System
  • Maintaining the Sales and Customer database
  • Preparing and sending invoices and purchase orders
  • Clerical duties and maintenance related to files and systems
  • Research and special projects for other company employees
  • A backup to resolve customer complaints and issues efficiently and courteously
  • Identify and escalate priority issues to the appropriate departments
  • Strong problem-solving abilities and attention to detail
  • Any other general office tasks required by the company
  • Ability to travel to our branch locations
Required Qualifications:
  • High school diploma or equivalent
  • 4+ years experience in office setting, preferably with a service company
  • Familiarity with Microsoft Office programs
  • Data Entry and experience
  • Strong attention to detail and a team-first attitude
  • Dependable and punctual, with a positive and professional demeanor
Preferred Qualifications:
  • Familiarity with inventory, database and/or ERP and CRM systems
  • Familiarity with systems such as Monday.com, Square and/or Jobber
