Job Description
Overview We are seeking a dedicated and detail-oriented Healthcare Administrative Assistant/Client Experience Specialist to join our team on a part-time basis. This role is vital in providing exceptional administrative support and ensuring a positive patient experience within our healthcare office. The ideal candidate will possess strong mental health/medical administrative skills, familiarity with electronic health records (EHR) systems, and excellent communication abilities to facilitate smooth clinic operations and patient interactions. Responsibilities Manage patient scheduling, appointment confirmations, and rescheduling using EMR systems Verify insurance coverage and perform insurance verification processes efficiently. Assist with medical billing and collection activities, including CPT coding, ICD-9/ICD-10 coding, and documentation review. Maintain accurate and organized medical records in compliance with HIPAA regulations. Support front desk operations including patient check-in/out, multi-line phone system management, and patient service inquiries. Handle intake procedures for new patients and update patient information accurately within EHR systems. Review clinical documentation for completeness and accuracy; assist with care plan documentation. Coordinate with clinical staff to ensure smooth office flow and effective communication between departments. Uphold confidentiality standards according to HIPAA guidelines while managing sensitive health information. Provide excellent customer service by addressing patient needs professionally and courteously. Skills Proficiency in medical office management software Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and health information management standards. Experience with insurance verification processes and medical billing procedures. Familiarity with EMR/EHR systems Excellent organizational skills with attention to detail in documentation review and data entry. Strong computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and multi-line phone systems. Bilingual abilities are a plus to enhance patient communication. Previous clinic or medical office experience preferred; dental clinic experience is advantageous. Exceptional customer service skills with professional phone etiquette and effective communication abilities. Ability to handle administrative tasks efficiently while maintaining compliance with HIPAA regulations. Great customer service skills Scheduling preparation Insurance benefit/eligibility review verification Organized with daily tasks office supply ordering Answering calls (Possible on call as needed only) Follow up with client incoming referrals: calls and emails Follow up with clients Completion of all necessary client log tracking Update referral log with client appointments Benefits verification Input client insurance copays, deductibles, and out of pocket expenses Organize office client files Update annual client consents Office environmental maintenance Respond to social media requests Creating social media posts sending email/text blasts for marketing Marketing/promotion in person and online Inputing data into private practice EMR Demonstrates professional autonomy and accountability Adheres to company policy Must provide daily recap to highlight all the work activities completed, as well as report any needs for follow up. •Must have a minimum college degree prepared A degree in Healthcare is a bonus Must be able to use Microsoft Excel , Word, and Google Drive Healthcare background preferred but not mandatory Bilingual is a bonus •Must provide 2 professional references and 1 personal reference
