Job Description
West | Out East showrooms, located in New York City, East Hampton, Miami, and Westport, Connecticut, offer a refined selection of high-end modern furniture, decorative and architectural lighting, kitchens, bathrooms, and home accessories. Position Overview The Logistics & Customer Service Coordinator plays a critical role in ensuring the seamless execution of order fulfillment, shipping, and post-sale client support. This position is responsible for coordinating domestic and international logistics, managing vendor relationships, and overseeing the full delivery lifecycle—from order processing through installation and issue resolution. Serving as the primary point of contact after a sale is completed, this role works closely with clients, sales teams, vendors, and internal departments to ensure timely deliveries, accurate invoicing, and a high level of customer satisfaction. The coordinator also monitors supply chain conditions, supports process improvements, and helps maintain efficient operational workflows across all showroom locations. This is a detail-oriented, fast-paced role that requires strong organizational skills, proactive communication, and the ability to manage multiple priorities while delivering exceptional service. Responsibilities Update and maintain open orders Assist with delivery and installation quotes, including local and airfreight shipments Scheduling deliveries & installations Assist with basic shipment documentation, tracking, and status updates Documenting damage or product issues and filing corresponding claims Support direct client communication as needed Organizing vendor information and keeping warranty information current Shipping showroom materials to clients and coordinating returns Support customer service solution execution Research & develop local resources Qualifications 3+ years of experience in logistics, operations, customer service, or administrative support Working knowledge of Microsoft Office tools Strong organizational and multitasking skills Experience in logistics, shipping, or supply chain coordination Excellent communication and problem-solving abilities Ability to manage multiple timelines and meet deadlines Customer-focused mindset with strong attention to detail Logistics & Operations Manage order processing and maintain visibility on all sales orders Coordinate domestic and international shipments (air & sea freight) Prepare and provide freight, delivery, and installation quotes within required timelines Schedule client deliveries and ensure smooth coordination across all locations Review and approve shipping invoices for accuracy before payment processing Serve as primary point of contact for shipping vendors Track and manage open orders, including quarterly balance reporting Request and follow up on client balance payments Assist with logistics for companywide initiatives Reporting & Process Improvement Monitor supply chain trends (tariffs, port delays, customs, etc.) Conduct research and compile data to improve logistics efficiency Collaborate with leadership to implement process improvements Customer Service Act as primary point of contact for client's post-sale Coordinate with clients and vendors to resolve delivery, installation, or product issues Manage damage claims and warranty-related concerns Partner with showroom leadership to provide client accommodation when needed Maintain strong vendor relationships to ensure efficient issue resolution Research and onboard local delivery vendors for different regions What You'll Gain Hands-on experience in a fast-paced, professional design showroom environment Exposure to high-end, luxury vendors and premium product lines Opportunity to collaborate with interior designers, architects, and leading industry professionals Development of strong organizational, operational, and client-facing skills Real-world experience managing logistics, supply chain coordination, and order fulfillment Mentorship supporting both the creative and business sides of the design industry Insight into vendor relations, project coordination, and client lifecycle management Opportunity to contribute to process improvements and operational strategy
Pay:
