Key Responsibilities:
Customer Engagement Coordination
  • Schedule and coordinate engagements across product and executive programs Own end-to-end logistics including calendars, invitations, agendas, materials, and stakeholder alignment Support preparation for executive briefings and product feedback sessions, ensuring all elements meet a high-quality, executive-ready standard Proactively anticipate scheduling conflicts, gaps, or risks and resolve them in advance Program Administration & Operations Partner with product teams to define beta and pilot testing needs, and support the development of customer testing plans and related communications Maintain and organize program artifacts (e.
g., templates, trackers, documentation) with exceptional accuracy and consistency Support upkeep of customer engagement data, ensuring completeness and reliability of records Maintain a centralized, up-to-date view of all engagements, timelines, and stakeholders Ensure consistency and quality across processes, documentation, and communications Communication & Follow-Through Capture meeting notes, action items, and next steps with a high degree of precision and completeness Track follow-ups and proactively drive closure of action items—ensuring nothing falls through the cracks Prepare executive leaders and internal teams for upcoming customer engagements, including briefing materials, agendas, logistics, and key talking points Anticipate needs ahead of engagements (e.g., materials readiness, stakeholder alignment, timing) to ensure a seamless experience Draft and deliver clear, polished communications tailored to executive and cross-functional audiences Support status updates and reporting for internal stakeholders Help deliver a white-glove, high-quality experience for customers across all touchpoints Process Support & Continuous Improvement Identify gaps or inefficiencies in coordination workflows and proactively suggest improvements Help standardize and scale repeatable processes for engagement execution Support PMO and program leads with ad hoc operational and coordination needs
Key Requirements and Technology Experience:
8 years of experience in project coordination, program support, or administrative roles Exceptional attention to detail and follow-through, with a track record of delivering accurate, high-quality work with minimal to zero defects Experience supporting executive and team readiness for high-visibility engagements, including preparation of materials and stakeholder coordination Demonstrated ability to anticipate needs, stay ahead of deadlines, and operate with a "no dropped balls" mindset Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment Excellent written and verbal communication skills, including experience drafting executive-ready materials Comfortable working with cross-functional teams and senior stakeholders Proficiency with tools such as Google Workspace, Microsoft Office, and project management tools (e.g., Asana, Jira, Monday.com) Our client is a leading IT Industry and we are currently interviewing to fill this and other similar contract positions.
