Job Description
Position Summary The Dealer Relations Coordinator serves as the primary point of contact for Hawke Trailers' dealer network, building strong relationships through exceptional communication, dependable follow-up, and outstanding customer service. This position focuses on supporting our existing dealers while assisting with newly established dealer accounts developed by our Dealer Relations Manager. Success in this role comes from creating a positive experience for every dealer by providing accurate information, timely communication, and proactive solutions throughout the ordering process. The ideal candidate enjoys building long-term business relationships and understands that our dealers are our partners. They are friendly, approachable, and service-oriented while remaining confident and professional when communicating company policies, managing expectations, and resolving challenging situations. They are comfortable making decisions, take ownership of their responsibilities, and consistently represent Hawke Trailers with integrity and professionalism. Essential Job Responsibilities Dealer Relationship Management
- Serve as the primary day-to-day contact for assigned dealer accounts.
- Build and maintain positive, long-term relationships with Hawke Trailers dealers.
- Support and onboard new dealer accounts acquired by the Dealer Relations Manager.
- Maintain regular communication with dealers regarding orders, production schedules, delivery timelines, and general inquiries.
- Develop trust and confidence by providing prompt, accurate, and professional communication.
- Proactively follow up with dealers after trailer deliveries to ensure satisfaction and identify opportunities to further support their business.
- Maintain detailed records of dealer communications and account activity. Order Processing, Dealer & Sales Support
- Process dealer orders accurately and efficiently.
- Review orders for completeness and verify specifications prior to production.
- Coordinate order changes, special requests, and production updates with internal departments.
- Provide dealers with accurate information regarding pricing, lead times, specifications, and delivery schedules.
- Generate order acknowledgments, invoices, shipping paperwork, and supporting documentation as needed.
- Ensure dealers receive timely updates throughout the manufacturing and delivery process.
- Coordinate with Dealer Relations Manager regarding trailer orders, warranty claims, dealer inquiries and parts sales. Shipping Schedule & Logistics Coordination
- Create, maintain and communicate the weekly shipping schedule for all outbound trailers.
- Coordinate shipping dates with dealers, production, and company drivers.
- Ensure completed trailers are properly scheduled and ready for shipment.
- Communicate any changes, delays, or updates promptly to all affected parties.
- Work closely with production and operations to align build completion with shipping commitments. Administrative Support
- Maintain accurate dealer files and electronic records.
- Oversee daily administrative accounting tasks, including receiving, recording, and depositing dealer payments.
- Maintain current and accurate accounts receivable records and dealer balances.
- Prepare reports and documentation as requested.
- Answer incoming calls and direct inquiries professionally.
- Assist with special projects and additional administrative duties as assigned.

- High school diploma or equivalent required.
- Minimum of two years of experience in customer service, account management, dealer support, inside sales support, or administrative coordination preferred.
- Experience in the manufacturing, transportation, trailer, or automotive industry is beneficial but not required. Skills & Competencies

- 4:45 PM Occasional overtime may be required to meet production schedules and customer needs. Compensation & Benefits Compensation Range $960
- $1120 per week ($49,920 to $58,000) based on experience, performance, and demonstrated responsibility.
Pay:
$49,920.00- $58,000.
