Patients wait weeks for appointments. Providers get 7 minutes with them. Women are handed a cream, told to do Kegels, and sent home. Nobody has time to actually listen. And the person at the front desk is just there to check people in and collect copays. That's not what we do. And that's not what this role is. Pillar Physio is Georgetown's premier cash-based women's health physical therapy practice. We've helped over 1,400 women get lasting relief from pelvic floor symptoms — not by guessing, not by flying by the seat of our pants, but through a systematic, whole-body approach that actually works. Our patients come to us after being dismissed everywhere else. They leave with their bodies back. We're growing. And we're looking for the person who wants to be the architect of what the front of this practice looks and feels like as we move into the next chapter. The Opportunity This is a ground-floor leadership role in a practice that is serious about growth and serious about excellence. You will own the entire front-of-house operation — not just execute tasks someone hands you, but actively shape the patient experience from first contact through the end of their plan of care. You'll work directly with the owner, have real input into how things run, and be a key part of what makes Pillar Physio different from every other clinic in Williamson County. The clinical team focuses on delivering world-class care. Your job is to make sure everything around that care is running at the same standard, so nothing falls through the cracks, no patient feels lost, and the schedule stays full and optimized. What You'll Own The full front-of-house operation, top to bottom, nothing falls through Scheduling, calendar management, and appointment optimization All client communication: phone, in-person, email, and follow-up Processing packages and payments with confidence and accuracy Protecting the schedule — rescheduling cancellations, enforcing policies, keeping things full Holding comfortable, direct conversations with clients around scheduling, cost, and commitment, including the ones that require a little redirection to help busy moms prioritize themselves Following up on outstanding tasks without being asked or reminded Learning and managing our systems including Jane App, GoHighLevel, Canva, and AI tools Anticipating problems before they happen and solving them before the team notices What Success Looks Like The schedule is full, protected, and running without chaos Clients feel genuinely cared for from the very first phone call Packages are processed accurately and without friction When a client wants to cancel, you find out why so that, more often than not, you help them stay on track Late cancel and no-show policies are enforced consistently and professionally The team trusts that whatever they hand off to you is done and they never have to follow up Leadership does not need to check behind you You're not just maintaining what exists — you're noticing what could be better and bringing ideas Who This Role Is Built For You might be coming from a healthcare setting where you watched great clinical care get undermined by poor operations and low standards.
